Location: Hybrid (London, 3 days in office and 2 days remote)
Job Description: As an executive assistant, you will provide crucial administrative support to the core foundation team, family office and senior executives to ensure the smooth operation and execution of key functions. This is an exciting opportunity for a candidate at early stage of the career and is eager to make a meaningful impact and facilitate the growth of an ambitious organisation.

SKILLS AND QUALIFICATIONS:

  • Early stage of career, 3-8 years of professional experience.
  • Experience providing administrative support for foundations, companies, senior executives, or family offices. Experience with legal and or accounting projects is a great plus.
  • Ambitious and eager to learn. A driven team player. Mature and strong ability and to-do attitude to anticipate needs and proactively identify issues.
  • Trustworthy. Upholding the highest level of discretion and professionalism when dealing with sensitive personal and corporate information.
  • Highly organised, with the ability to manage multiple tasks whilst maintaining a strong attention to detail.

Responsibilities
  • Administrative Support: Supporting team operation through office administration and management of documents, records, and IT infrastructure. Handling confidential correspondence, maintaining contact databases, managing files and records.
  • Project and Event Management: Event scheduling and organisation, including schedule management, meeting coordination, venue booking. Planning special events.
  • Scheduling and Coordination: Travel coordination, including multi-day itinerary organisation, accommodation booking and arranging medical and other services as needed.
  • Vendor management and collaborator liaison, including financial and legal advisors, other service providers.
  • Financial Support: expense reporting, invoicing, and annual audits.
