EXECUTIVE ASSISTANT – VP & CFO, CLIENT EXPERIENCE OFFICE, CANADIAN OPERATIONS AND EXPENSE MANAGEMENT

The Canadian Expense Management team and Client Experience/Operations Finance is looking for a new Executive Assistant. This growing team is comprised of nearly 40 accredited Finance professionals helping to bring Sun Life Canada’s purpose to life. We are a hard-working team who loves to have fun. The Executive Assistant will be responsible for providing efficient and high-quality administrative support to the VP & CFO, Client Experience Office and Canadian Operations as well as calendar support to their leadership team (a group of five AVPs). The successful candidate will be a self-confident, creative, innovative thinker with superior organization and time management skills, and the ability to handle a variety of responsibilities. The role is fast paced with multiple demands and requires a demonstrated regard for confidentiality and a high level of judgment and ability to solve for solutions.

Responsibilities

WHAT WILL YOU DO?

  • Actively and proactively anticipates the needs of the VP to ensure they are well prepared, and organized.
  • Actively manages all aspects the VP’s calendar, coordinating both personal and professional appointments, meetings and scheduling.
  • Manages all aspects of the VP and AVPs calendar to ensure meetings are prioritized with internal and external clients/business partners as appropriate
  • Helps to supports meeting requests for the AVPs, as needed.
  • Effectively works with other EAs in scheduling and coordination of meetings and other needs
  • Proactively anticipates the needs of the VP in a dynamic and fast paced environment, including a rudimentary understanding of Finance process (i.e. quarter-end, year-end, planning), to enable more effective and efficient administration.
  • Coordinates meetings including preparing agendas, announcements, memos, org design charts, presentations and reports.
  • May be required to assist in the preparation and distribution of reports and internal communications
  • Manages all travel arrangements and accompanying material for VP
  • Coordinates townhalls, including Audio/Visual, Catering and other logistics
