Description Entune Behavioral Health is an outpatient Behavioral Health Provider that offers individual, couples, and family therapy as well as other Behavioral Health services in Tucson, Arizona. We are currently hiring a dynamic Executive Assistant (Executive Support & Accountability Specialist) to serve as a strategic partner to the CEO by overseeing high-level administrative functions, coordinating interdepartmental follow-up, tracking staff accountability, and ensuring timely execution of organizational initiatives. This role compiles data and updates for the Governing Board, supports policy development and implementation, and ensures follow-through on executive directives. The ideal candidate is highly organized, task-oriented, proactive, and skilled in communication and follow-up. Key Responsibilities 1. Executive Support & Coordination · Serve as the primary administrative partner to the CEO, managing priorities, deadlines, and special projects. · Coordinate communication and follow-up between the CEO and department leaders. · Prepare reports, presentations, and documentation for Governing Board meetings. · Track progress on CEO-directed initiatives and ensure completion. 2. Accountability & Staff Check-Ins · Conduct regular accountability check-ins with leadership and key staff to monitor assigned tasks, goals, and deliverables. · Maintain logs of commitments, deadlines, and outcomes for internal tracking and reporting. · Provide reminders and follow-up to ensure staff progress aligns with expectations. · Identify barriers or delays and escalate concerns to the CEO when needed. 3. Departmental Follow-Up & Task Management · Follow up with departments to confirm assignment completion, obtain updates, and gather relevant data. · Coordinate cross-functional tasks to ensure alignment across programs, operations, clinical services, and administration. · Track outstanding items and communicate status updates to the CEO in real time. 4. Board & Policy Support · Gather, organize, and compile data needed for Board meetings, reports, and compliance documentation. · Assist in policy updates, version control, and distribution across departments. · Ensure updated policies are implemented, communicated, and adhered to. 5. Project & Task Execution · Maintain a centralized task tracking system for CEO priorities and organizational initiatives. · Monitor timelines and deliverables to ensure follow-through across departments. · Anticipate needs, plan ahead, and propose solutions to support strategic goals. Note: Duties may flex as needed and travel between offices will be required. Preferred High School diploma or Equivalent required 3–5 years of experience in executive support, operations coordination, or departmental oversight. CPR / AED & First Aid Certification required Level One DPS Fingerprint Clearance Card required Bilingual (preferred) High proficiency with Microsoft Software especially 365 platform Experience with electronic health records (EHR) Strong organizational, planning, and task management skills Excellent written and verbal communication skills. Proven ability to follow through, hold others accountable, and track progress. Ability to manage multiple deadlines in a fast-paced environment. Professional discretion and confidentiality.
