Description

This above role will play a crucial role in supporting the main Executive Assistant (EA) to ensure smooth operation of the International Business Office (IBO) administrative functions. This role is based in Singapore

  • Assist in booking travel arrangements, including flights, accommodation and transportation.
  • Support the application process for Visas for the IBO team. Liaison with travel agencies, embassies and other group companies to confirm the latest Visa requirements for travel designations.
  • Assist main EA in planning and organizing both internal and external meetings and events. Ensure timely communication and preparation with all relevant parties.
  • Assist in simplified calendar management for Directors under the EA’s instructions.
  • Assist in reconciling and verifying the IBO team’s travel and entertainment claims in accordance with the Company’s business expense policy. This includes preparing travel requisition and submission of claims, etc via our system.
  • Organise and maintain records, files and documents relating to IBO administration
  • Ensure confidentiality and accuracy in handling sensitive information
  • Administrative duties and any other duties assigned by the Executive Assistant.

Requirements

  • Minimum Diploma in business administration, Office Management or equivalent with 2 to 3 years relevant work experience. (advantageous)
  • Open to fresh graduates with 1 – 2 years’ experience in administrative, customer service roles
  • Strong proficiency in both English (required) and Chinese as the role involves communication with stakeholders in China and Hong Kong
  • Good communication and interpersonal skills
  • Detailed and meticulous in administration
  • Available for flexible hours across time zones
  • Possess good listening skills, take EA’s instructions and work as a strong team player
