We are seeking an organized, detail-oriented, and highly professional Executive Secretary to support the President and Board of Directors, ensuring seamless daily operations and effective communication across the organization.

POSITION OVERVIEW

The Executive Secretary will act as a trusted administrative partner to the executive leadership team. This role requires discretion, strong organizational skills, excellent communication, and the ability to manage multiple priorities in a fast-paced healthcare environment.

QUALIFICATIONS

  • Bachelor’s degree preferred (Business Administration, Healthcare Management, or related field).
  • 5+ years of experience in an executive assistant or executive secretary role, ideally within healthcare or professional services.
  • Exceptional organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • High level of professionalism and ability to maintain confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with EMR/RCM systems a plus.
  • Ability to work independently, anticipate needs, and exercise sound judgment.
    Job Types: Full-time, Part-time
    Pay: $50,206.72 - $65,000.00 per year
    Expected hours: No more than 40 per week

Responsibilities
  • Provide executive-level administrative support to the President and Board of Directors.
  • Manage complex calendars, schedule meetings, and coordinate travel and logistics.
  • Prepare, review, and distribute correspondence, reports, meeting agendas, and minutes.
  • Handle confidential information with discretion and professionalism.
  • Serve as the point of contact between executives, physicians, staff, and external stakeholders.
  • Support board meetings by drafting agendas, compiling materials, and ensuring timely follow-up on action items.
  • Coordinate with legal, finance, and operational teams on organizational projects and documentation.
  • Maintain organized filing systems (digital and physical) for contracts, licenses, and corporate records.
  • Assist with special projects, presentations, and communication initiatives as directed by leadership.
  • Manage and track deadlines for compliance, regulatory, and reporting requirements.
