Description

The Vancouver Secondary Teachers’ Association (VSTA) is a non-profit society that represents a membership of approximately 1500 Vancouver secondary public-school teachers. The union office employs 3 elected in-house table officers, 2 full time support staff, and 1 part-time office support (TFEU Sub-Local 3).

QUALIFICATIONS & EXPERIENCE

  • 3+ years of work experience in an Executive Assistant role or a similar position of responsibility
  • Working in a unionized environment and/or non-profit society
  • Recording meeting minutes (Roberts Rules of Order is an asset)
  • Proficiency in English – written and verbal communications
  • Legally permitted to work in Canada for the duration of the position

SKILLS & ABILITIES:

  • Ability to prioritize tasks, work with interruptions and adapt to changes
  • Excellent time management with attention to detail
  • Tech-savvy with an aptitude for technology (WordPress or other content management system is an asset)
  • Proficient with telephone management systems (VOIP Telus System is an asset)
  • Must be proficient with Microsoft Office (specifically Word, Excel & Outlook)
  • Experience in facilitating Zoom meetings (Scheduling, Break-out rooms, Polls)
  • Proactive approach to problem-solving and assessment of situations
  • Professional discretion & confidentiality
  • Ability to work independently and as a part of a team in a small office environment
  • Ability to foster a welcoming, respectful, and inclusive service environment

OTHER REQUIREMENTS

If selected for this position a criminal record check is required. A clearance requires the absence of any criminal charges or convictions related to this position. If the check is satisfactory, the VSTA will reimburse the cost.

Responsibilities
  • Coordinate and preparemeeting materials; record and transcribe minutes for online and in-person meetings
  • Maintain and update Constitution & By-Laws, Policies & Procedures manual, etc.
  • Prepare and schedule annual meeting calendar
  • Organize conferences and social functions
  • Maintain and update website content using WordPress
  • Manage VOIP telephone system using Telus Business Connect
  • Coordinate and maintain IT support
  • Maintain the filing system - electronic and paper based
  • Create, prepare and maintain communication materials
  • Create surveys using Simple Survey
  • Record Management
  • Perform reception duties as needed
  • Office supplies maintenance
  • Provide general support
