Term Employment 3 months with possibility of extension (37.5 hours a week)
The Executive Assistant provides professional administrative support and assistance to the Grand Chief, Leadership Team and Board of Directors of the Gwich’in Tribal Council (GTC) in accordance with the Gwich’in Comprehensive Land Claim Agreement (GCLCA), relevant legislation, polices, program guidelines and directives.
This position is responsible for full range of administrative and secretarial services to the GTC Executive (Grand Chief), Leadership Team and Board of Directors. As a key point of contact for the GTC, the Executive Assistant is responsible for ensuring that the organization is represented in a positive and proactive manner. In addition, the incumbent serves as an administrative liaison for all positions reporting to the Chief Executive Officer.

SKILLS AND ADDITIONAL REQUIREMENTS

  • Knowledge of standard office administrative practices and procedures;
  • Ability to work independently and take initiative;
  • Clear, concise and effective written and verbal communication skills;
  • Demonstrated tact, discretion, integrity, adaptability and ability to deal with confidential and sensitive information are essential;
  • Knowledge of the GTC’s mandate, goals and objectives and political and social environment in which the GTC’s programs and services are offered;
  • Travel, including to remote communities within the Gwich’in Settlement Area of the Northwest Territories, will be required.

QUALIFICATIONS

  • A Diploma in Business Administration/Management, Office Administration or Paralegal.
  • Bachelor’s degree is an asset.
  • Class 5 Drivers License.
  • A minimum of three (3) years as an Executive Assistant and/or five (5) in an Office Administration environment.
  • Proficiency in computer skills and in-depth knowledge of software such as MS Office Suite and Adobe.
Responsibilities

Administrative Services - Provide a wide range of administrative support to the GTC Executive and Board of Directors, including scheduling meetings and coordinating with internal and external agencies. Manage correspondence requests and maintain an organized calendar of key events, meetings, and deadlines. Accurately document meeting minutes and track deliverables, ensuring deadlines and key follow-ups are met. Assist in organizing presentations and internal or external business events.
Board of Directors Support - Schedule and organize Board of Director meetings, including agenda preparation and gathering relevant materials. Format and distribute documents for meetings and related committees while ensuring clear communication. Document and compile minutes from quarterly meetings, tracking key deliverables and deadlines.
Logistics Coordination - Arrange travel and accommodations for the GTC Executive, Leadership Team, and Board of Directors as needed. Oversee meeting logistics, including venue selection, catering, and audio/visual requirements. Prepare and process travel advances, expense claims, purchase orders, and other related documents.
Document Management - Ensure effective file management across the shared drive by organizing, filing, and retrieving documents as needed. Research, review, and compile information to support the development of policies, procedures, and governance documents. Review all correspondence and documents prepared for Executive, Leadership Team, and Board of Directors to ensure accuracy, quality, and consistency.
