EXECUTIVE ASSISTANT JOB DESCRIPTION

Blue Ridge Preservation, Inc of Boone is looking for a full-time, year-round experienced Executive Assistant. We are located on the campus of the Art of Living Retreat Center, a year-round retreat and residential housing community.
As the Executive Assistant, you will provide high-level administrative support to executives by managing calendars, scheduling meetings, making travel arrangements, handling communications, preparing documents, and acting as a liaison with internal and external stakeholders. Key responsibilities include calendar management, travel coordination, preparing reports and presentations, and maintaining confidentiality. Essential skills for an executive assistant are strong organizational and time management skills, excellent written and verbal communication, proficiency in office software, and discretion in handling sensitive information.

Key Responsibilities

  • Calendar Management:Schedule meetings, manage appointments, and troubleshoot conflicts to ensure smooth daily operations.
  • Travel Coordination:Arrange and manage domestic and international travel, including accommodations and logistics.
  • Communication Management:Screen calls, draft correspondence, manage mail, and act as a point of contact for executives.
  • Document Preparation:Create and format various documents, including reports, presentations, agendas, and memos.
  • Administrative Support:Maintain filing systems, prepare expense reports, and manage office supplies.
  • Liaison and Support:Serve as a point of contact for internal staff, clients, and partners, and support special projects.

Essential Skills

  • Organizational & Time Management:Ability to organize information, manage large volumes of tasks, and meet deadlines in a fast-paced environment.
  • Communication:Strong verbal and written communication skills for drafting correspondence, taking minutes, and liaising with stakeholders.
  • Technical Proficiency:High-level proficiency in office software suites like Microsoft Office or Google Workspace.
  • Discretion & Confidentiality:Ability to handle sensitive C-level information with discretion and good judgment.
  • Problem-Solving:Resourcefulness and the ability to think on their feet and make decisions quickly and efficiently.
  • Attention to Detail:Meticulousness in managing schedules, documents, and other critical information.
