Description DEPARTMENT: Administrative ACCOUNTABILITY: Reports to the CEO / AAA Director STATUS: Full-Time, Exempt JOB SUMMARY: Provides high-level administrative and operational support to the CEO of Legacy Link while helping advance the organization’s mission through executive coordination, communication, and organizational support. Essential Functions: 1. Provides high-level administrative support to the Chief Executive Officer, including managing calendars, scheduling meetings, coordinating travel, and handling confidential correspondence. 2. Serves as main point of contact when CEO / AAA Director is unavailable. 3. Completes a wide variety of administrative tasks for the CEO, CFO, and Management Team. 4. Assists the CEO with strategic initiatives, special projects, community engagement activities, and organizational events. 5. Monitors deadlines, prioritizes executive tasks, and ensures timely completion of assignments and organizational initiatives. 6. Maintains confidential records and sensitive information with professionalism, discretion, and compliance with agency policies. 7. Monitors individual programmatic performance monthly to ensure contract compliance. 8. Works with CEO, CFO, and Management Team staff to resolve any issues in a prompt manner. 9. Prepares, edits, and distributes reports, presentations, meeting agendas, board packets, minutes, and other executive communications. 10. Coordinates Management Team meetings and assists with staff meetings and events as needed. 11. Assists with coordination of Board of Directors and committee meetings, including scheduling, logistics, materials preparation, and follow-up on action items. 12. Assists in updating the organization’s existing policies and procedures. 13. Provides hospitality to all guests to create a warm and welcoming environment. 14. Performs other duties as assigned in support of the CEO and organizational objectives. Additional Areas of Responsibility: 1. Provides a gatekeeper and gateway role for the CEO / AAA Director to facilitate trust and support among all constituents. 2. Invests in building and maintaining long-lasting relationships both internally and externally. 3. Serves as a notary for the organization. Requirements Other Information/ Requirements: 1. Strong organizational, communication, and problem-solving skills. 2. Communicates information effectively with others, both internally and externally, of all backgrounds. Education and Experience: · High School Diploma plus four years of experience required. Four year degree in business administration, finance, accounting, or related field preferred. · Relevant administrative assistance experience required. Licensure: Valid Georgia Driver’s License Required Skills: 1. Ability to communicate the goals and objectives of Legacy Link. 2. Knowledge of basic accounting practices and procedures. 3. Skill in preparing detailed reports. 4. Skill in performing detailed computations. 5. Proficient computer skills with emphasis on accuracy. 6. Ability to be trained. 7. Well-organized and detail-oriented. 8. Interpersonal communication skills, including ability to communicate with people having a variety of educational levels. 9. Problem-solving skills 10.
