Description:

Hospitality professional and restaurant owner looking for a highly motivated, organized and outgoing executive personal assistant.

Responsibilities:

  • Respond to and organize emails (both your own & employers)
  • Act as the person of contact between employees & employer
  • Curate daily and weekly schedules
  • Act as the point of contact between the executive and internal/external
  • Screen and direct phone calls and distribute correspondence
  • Strong judgement skills to handle a variety of requests and queries appropriately
  • Manage daily priority lists
  • Schedule meetings and appointments
  • Make travel arrangements
  • Take dictation and meeting minutes
  • Source office supplies
  • Produce reports, presentations and briefs
  • Maintain email filing system
  • Assist in daily errands/activities
  • Work closely with restaurant operations manager
  • Maintain budget reports
  • Communicate efficiently with various other members of team (ie. Contractors, Designers, Graphic Designers, Accountants, etc)
  • Conducting and reporting any research required
  • Ability to work in multiple different work environments
  • Travel between a number of different business locations throughout Calgary and Okotoks area

Education:

  • High School degree
  • PA diploma or Post Secondary Degree (advantage)

Skills

  • Proven work experience as a Personal or Executive Assistant
  • Knowledge of office management systems and procedures
  • MS Office and English proficiency
  • Outstanding organizational and time management skills
  • Familiar with scheduling meetings via Zoom and/or Teams
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Japanese language (advantage)
  • Must work well both independently as a self starter along with a large & diverse team
  • Well developed time management skills
  • Must have a car and be able to use it for daily transportation

Job Types: Full-time, Permanent
Pay: $50,000.00-$55,000.00 per year

Schedule:

  • 8 hour shift
  • Monday to Friday
