Description:
We are seeking an experienced and highly organized Executive Assistant to provide comprehensive support to the CEO of our thriving fashion business. The ideal candidate will possess excellent communication skills, exceptional attention to detail, and a proactive approach to managing the CEO’s demanding schedule and tasks. This role requires discretion, professionalism, and the ability to handle sensitive information with confidentiality.
Responsibilities:
- Coordinate the CEO’s schedule, including meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively resolve them to ensure efficient use of time.
- Act as a liaison between the CEO and internal/external stakeholders, including clients, partners, and team members. Manage emails, phone calls, and correspondence on behalf of the CEO, ensuring timely responses and follow-ups.
- Arrange all travel logistics for the CEO, including flights, accommodations, transportation, and visas. Provide detailed itineraries and travel packets, and anticipate any potential travel disruptions.
- Prepare meeting agendas, presentations, and materials as needed. Attend meetings with the CEO, take minutes, and follow up on action items to ensure timely execution.
- Handle administrative duties such as expense reports, filing, document management, and office supply procurement. Maintain organized records and files, both physical and digital.
- Assist the CEO in various projects and initiatives, including research, data analysis, and presentations. Coordinate with other departments to gather information and facilitate collaboration.
- Support the planning and execution of corporate events, conferences, and industry gatherings. Coordinate logistics, manage guest lists, and ensure events run smoothly.
- Handle sensitive information with discretion and maintain confidentiality at all times. Uphold the highest standards of professionalism and integrity in dealing with confidential matters
