Description
Summary of Position: The Executive Assistant serves as the primary administrative partner to the Chief Executive Officer (CEO), with additional support to the Chief of Staff (COS), Board of Directors, and the broader Leadership Team. The Executive Assistant is a trusted member of Savara who operates with a high degree of discretion, and independent judgment. This is a highly visible role that requires someone who can anticipate needs, manage competing priorities, and represent Savara with a high standard of professionalism. Key Responsibilities: * Board of Directors Support * Serve as a primary point of contact for Board members on scheduling, logistics, and communications * Coordinate Board and committee meeting logistics, including materials preparation, distribution, and follow-up * Maintain accurate records of Board-related documents, consents, and correspondence in coordination with Legal * CEO Support * Manage an extremely active and complex calendar, including prioritization, scheduling, and coordination across time zones and stakeholders * Arrange detailed domestic and international travel, including itineraries, logistics, and pre-meeting materials * Complete expense reporting and reconciliation * Compile and organize briefing materials, board documents, and presentations in advance of key meetings * Anticipate the CEO's needs and proactively address them before they arise * Screen and manage incoming communications, determining what requires the CEO's direct attention * Chief of Staff support * Serve as an operational partner to the COS on executive priorities * Help track action items, deadlines, and follow-ups across workstreams * Assist in preparing materials and logistics for internal and external meetings * Support the COS with travel, expenses, and scheduling as needed * Leadership Team Support * Coordinate scheduling and logistics for Leadership Team meetings, offsites, and cross-functional working sessions * Support the planning and execution of leadership events and other corporate functions * Serve as a liaison between the CEO, the Chief of Staff, and the broader Leadership Team to ensure alignment and follow-through * General * Handle sensitive and confidential information with absolute discretion * Build and maintain strong relationships with internal and external stakeholders * Take on special projects and assignments as directed, managing independently from conception to completion Required Skills and Experience: * 10+ years of experience as an Executive Assistant supporting C-suite leadership, preferably in a fast-paced or high-growth environment; experience within biotech or pharma strongly preferred * Exceptional organizational skills with meticulous attention to detail * Strong written and verbal communication skills; able to draft professional correspondence independently * High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and SharePoint * Demonstrated ability to handle confidential information with discretion and sound judgment * Self-directed and proactive; able to work independently and anticipate needs without being asked * Comfortable operating in ambiguity and adapting quickly as priorities shift * Professional presence and polished interpersonal skills appropriate for Board and executive-level interaction * Experience supporting a Board of Directors preferred Work Schedule and Location: * This role is hybrid, based out of our Langhorne, PA office. Hours after traditional business hours and/or weekends are required as needed.
