EXECUTIVE ASSISTANT JOB DESCRIPTION

Alpro Metal Roofing is looking for an Executive Assistant to join our growing team. We’re a company that installs premium standing seam metal roofing for high-end custom homes, and we’re expanding fast.
Our CEO is looking for a right-hand partner to help guard his time, run the day-to-day details, and keep the company moving forward.

- Organizing calendars, emails, and all the little details of life.
- Moving quickly while keeping accuracy sky-high.
- Using tech tools to make things smoother (Google Workspace, Trello, QuickBooks, CRM software, etc.).
- Learning new systems fast and finding better ways to do things.
- Keeping track of many projects without losing sight of the small stuff.

What you’ll do (day to day):
- Manage and protect the CEO’s calendar—book meetings, cluster site visits, and block focus time.
- Process and organize the CEO’s inbox, handling responses where possible and flagging only what matters.
- Draft, send, and track communication with builders, subcontractors, and suppliers.
- Keep job folders and project documents up to date—estimates, invoices, subcontractor packages, WSIB, Form 1000s, etc.
- Plan agendas and capture follow-ups from meetings so nothing gets lost.
- Help build and update SOPs (process documents) as the business grows.
- Provide daily and weekly updates to close the loop on projects, tasks, and commitments.
- Occasionally coordinate personal and family scheduling to keep everything in balance.

- Experience in executive or administrative support roles.
- Strong communication skills (clear, concise, and professional).
- Comfort with digital tools and a “figure it out” mindset.
- A positive, resourceful attitude—you get things done.

Pay: $25.00-$34.00 per hour
Expected hours: 40 per week

- Imagine the CEO is double-booked: a new builder meeting vs. a long-time subcontractor needing immediate answers. How would you decide which to prioritize?
- Have you worked in construction, trades, or related industries before? If yes, describe your role.
- Have you ever created or maintained SOPs (step-by-step processes) for a company? If yes, give an example.
- This role requires being proactive—spotting problems and solving them before they reach the CEO. Can you give an example from your past where you did this?
