XTEND is seeking a highly professional, proactive, and detail-oriented Executive Assistant to support the company’s CEO and senior management team. This is a central and highly impactful role, requiring strong ownership, discretion, and the ability to operate independently in a fast-paced environment. The role involves close, day-to-day work with senior leadership and provides comprehensive administrative and operational support across the executive team. Key Responsibilities Full ownership of complex calendar management for the CEO and executive management team Scheduling and coordinating multi-participant meetings, internal and external, across multiple time zones End-to-end coordination of executive meetings, board meetings, leadership offsites, and international investor visits Day-to-day ongoing support for all members of senior management, including prioritization, follow-ups, and real-time problem solving Welcoming and hosting guests, customers, partners, and executives with a high level of professionalism Managing visitor meeting logistics: parking, access approvals, meeting rooms, refreshments, equipment, and room readiness Handling ad-hoc operational and administrative tasks with flexibility and responsiveness Working closely with external service providers to support executive management with daily meal ordering and travel logistics Maintain organized systems for documents, contacts, and executive workflows, and support expense management, invoices, and administrative processes Acting with full discretion, confidentiality, and professionalism when working with senior leadership Requirements Minimum 4 years of proven experience as a Personal Assistant / Executive Assistant / Office Manager Mandatory experience supporting senior management and managing executive calendars and logistics Experience working directly with a CEO – strong advantage Fluent in Hebrew and English - speaking, writing, and reading (required) Exceptional organizational skills and ability to manage multiple priorities simultaneously Proactive, independent, and service-oriented mindset, with the ability to anticipate needs Strong interpersonal skills and the ability to be assertive when needed Proficiency in Office tools / Microsoft Outlook Ability to work flexible hours and adapt to a dynamic, sometimes unpredictable environment Experience in a high-growth, global, tech / defense environment – strong advantage Why Join Us: Work alongside a visionary CEO and senior leadership at the heart of a fast-scaling organization and play a meaningful role in shaping how a global defense-tech company operates and scales.
