The Opportunity
We’re looking for a proactive, emotionally intelligent, and highly organized Executive Assistant (EA) to serve as a strategic right hand to our CEO, providing operational leverage and creating capacity for the CEO to focus on vision, strategy, and growth. This role ensures priorities are executed, communication flows seamlessly, and high-impact initiatives move forward with clarity and accountability. This role is about creating the clarity and capacity for the CEO to lead at the highest level.
You’ll operate at the intersection of operations and strategy - managing priorities, relationships, and information flow across a dynamic, purpose-driven organization. The ideal candidate is tech-savvy and brings sharp judgment, discretion, and the ability to anticipate needs before they arise. This is a high-impact, high-trust role for someone who thrives behind the scenes, builds strong relationships, and adds value beyond the task list.
What You’ll Do

Administrative & Executive Support

  • Manage and protect the CEO’s time, schedule, and inbox, ensuring alignment with top priorities
  • Coordinate internal and external meetings with senior leaders, clients, influencers, and strategic industry/community partners
  • Draft and edit executive-level communications, presentations, scripts, and memos
  • Prepare the CEO for meetings with context, agendas, briefing materials, and follow-ups to drive clarity and accountability
  • Represent the CEO with professionalism, discretion, and a deep understanding of organizational priorities
  • Maintain confidentiality, uphold strong boundaries with staff, and exercise sound judgment in all communications

Project & Workflow Management

  • Track CEO-led initiatives and company-wide priorities, deadlines, and key deliverables
  • Coordinate internal and cross-functional projects
  • Ensuring alignment, deliverables, and follow-ups are captured, delegated, and completed
  • Oversee and administer the Client Experience Program and support internal culture-building efforts
  • Lead and support special projects and strategic initiatives on behalf of the CEO
  • Conduct research and briefings on people, organizations, topics, and opportunities to inform executive decisions and communications

Information & Data Management

  • Maintain well-organized digital systems, SOPs, recurring processes, and internal documentation
  • Ensure the CEO has the right information at the right time to make decisions
  • Pull data and compile reports from tools such as CRM, ERP, SharePoint, Procore, and Excel
  • Support accurate and timely data entry for projects, reports, and communications

Internal & External Communication Liaison

  • Serve as a professional, trusted representative of the CEO in internal and external interactions
  • Support relationship management with key stakeholders, partners, and board members
  • Coordinate thank-you notes, gifts, and recognition touchpoints

Culture & Event Support

  • Support internal culture-building efforts and associate recognition programs
  • Coordinate CEO-related events, offsites, and leadership engagements

Travel, Logistics & Light Personal Support

  • Manage complex travel and conference schedules for the CEO
  • Provide light personal and family support to ensure CEO focus and availability (appointments, gift ordering, family logistics)

Core Competencies

  • A proactive, anticipatory mindset: you see what’s needed before it’s asked
  • Strong communication skills and the ability to work closely with executive leadership
  • High emotional intelligence, impeccable judgment, discretion, trustworthiness, and professionalism
  • Strong technical proficiency (Microsoft Office, cloud-based tools, project systems)
  • Ability to juggle competing demands, pivot quickly, and lead through ambiguity
  • A calm, positive, team-oriented presence
  • A passion for supporting visionary leadership in a mission-driven organization

Qualifications

  • 5+ years of experience supporting a senior executive or founder in a high-paced environment
  • Demonstrated experience as a strategic partner or thought partner to leadership
  • Strong project coordination, workflow management, and communication skills
  • Familiarity with construction or real estate a plus, but not required
