POSITION OVERVIEW

As the Executive Assistant to the CEO of a dynamic and rapidly growing care company, you will play a pivotal role in enabling the CEO to focus on strategic growth, problem-solving, and acquisition opportunities. Your responsibilities will revolve around managing the CEO’s communications, tracking and ensuring the execution of directives, preparing critical information, and organising day-to-day operations. QUALIFICATIONS

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication abilities.
  • Proficient in office software (e.g., Microsoft Office, Teams, Power Point, Excel, Google Workspace,) and collaboration tools (e.g., Slack, Trello, Asana).
  • High degree of discretion and professionalism.
  • Ability to anticipate needs and exercise initiative.
  • Strong problem-solving skills and a proactive mindset.

Responsibilities
  • Administrative Management:
  • Oversee the CEO’s schedule, coordinate meetings, and prioritize tasks, minute take.
  • Manage email correspondence, draft responses, and filter communications.
  • Prepare detailed agendas, presentations, and briefing documents for meetings.
  • Project Coordination:
  • Track progress on CEO directives across departments, ensuring timely follow-ups.
  • Handle special projects and initiatives as directed by the CEO.
  • Maintain a dashboard of ongoing priorities for the CEO and wider team.
  • Communication and Liaison:
  • Act as a point of contact between the CEO and internal/external stakeholders.
  • Coordinate with department heads to gather data and updates.
  • Maintain professionalism and confidentiality in all interactions.
  • Information Preparation:
  • Conduct research and provide summaries, reports, or analyses as needed.
  • Ensure the CEO has all necessary information ahead of meetings or decision-making.
  • Operations and Problem-Solving:
  • Proactively identify and resolve potential bottlenecks in the CEO’s workflow.
  • Optimize processes and implement tools to enhance productivity.
  • Manage administrative tasks such as expense tracking, document management, and travel arrangements.
