Description:
We have an exciting opportunity for an experienced Executive Assistant to work with our Chief Executive office to help us in making badminton the most inclusive and accessible sport.
As the Executive Assistant to the CEO, you will play a vital role in supporting our CEO, Chair and Board of Directors in managing day-to-day operations and driving the success and growth of badminton in England, as well as helping to deliver our exciting hospitality programme at our Yonex All England Championships.
This position requires a proactive, highly organised and detail-oriented individual with exceptional communication and interpersonal skills. The ideal candidate should thrive in a fast-paced, dynamic environment and possess a genuine passion for delivering exceptional service.

WHO WE ARE LOOKING FOR:
- Proven experience in pro-active management of a CEO office/similar
- Previous experience in hospitality
- Efficient organisational and time management skills, with the ability to multitask and priorities effectively
- Proven experience in stakeholder management, ideally chairs, boards of directors and stakeholders
- Track record of building strong networking skills to develop relationships
- Excellent verbal and written communication skills, including knowledge of Microsoft office and in particular, spreadsheets word processing, email
- Meticulous attention to detail
- Able to work independently but thrives in working with others
- Resilience to deal with the demands of the busy CEO office

Responsibilities:
Management of all day-to-day activity of the Chief Executive’s Office including:
- Pro-actively managing a demanding diary, ensuring efficient scheduling of meetings by coordinating with all relevant parties to ensure the best possible use of time and resolving clashes/conflicts appropriately.
- Acting as a gatekeeper to protect demands on the diary
- Managing efficient systems for meetings and effective working
- Implementing effective forward planning administrative systems for the smooth running of meetings, including creating/collating meeting briefing notes
- Anticipating travel arrangements, booking itineraries and managing visa applications where necessary for the Chief Executive, Chair, Board of Directors and Committees.
Manage the Chief Executive’s time by:
- Assisting with the management of workflow and action deadlines
- Managing the Chief Executive’s emails and correspondence, forwarding, replying, deleting, filing/flagging as appropriate
- Researching and preparing presentations as required
- Screening telephone calls, enquiries and requests - fielding responses as appropriate.
Providing executive support:
- Responsible for programming executive meetings to ensure alignment that allows efficient strategic reporting against the business plan;
- In liaison with the Chair and the Chief Executive manage the following meetings, by preparing/distributing/ writing the agendas, supporting papers (where necessary) and minutes to boards and committees
- Complete Chief Executive’s action points arising from all meetings where possible
- Assist the Chief Executive in the efficient delivery of our BE strategy and living our values
Corporate Governance responsibilities:
- Manage and ensure compliance to the annual Governance cycle on behalf of the Chief Executive and the Chairman in accordance with the Articles of the Association and Standing Orders, including the election process for Office Holders and the General Meeting;
- Manage the Annual Self Assurance / Onsite Audit process ensuring all requested documents are available and complete;
- Manage the organisations Data Protection Policy and oversee the establishment of an implementation plan
- Manage the ISA 550 & Declarations of Interest process for the whole organisation, including Board/Committee volunteers;
- Manage the process for creation of the Annual Report and Financial Statements, ensuring key governance deadlines for reporting are met.
Yonex All England Championship event:
- Attendance at the YAE event in Birmingham for 1 week in March each year, (accommodation and expenses paid) plus additional day visits to the site in advance (max 3) to plan for the event
- Planning and delivery of the hospitality programme at the YAE to include management of guest lists, managing VIPs, Royal visits, CEO and Chair schedules of activity
- Management of the hospitality lounges at the YAE, including set up of spaces, equipment and resources required
- Training and oversight of the BE staff supporting the YAE Hospitality Lounge areas
- Creating appropriate guest lists, issuing invites and managing RSVPs;
- Managing accreditation/tickets in liaison with the Competition & Events team.
Other key events:
- Manage the National Badminton Awards in liaison with the Marketing & Communications Team:
- Researching and booking relevant venues, equipment, spaces and dressing of venue
- Creating and managing the nomination timetable and process;
- Creating appropriate guest lists, issuing invites and managing RSVPs;
- Acting as a key contact point for all sponsors.
- Assist the people team in supporting social activities for employees, including the Christmas Party;
Communications:
- Act as a contact point for the President, Chair and Board of Directors;
- Act as a contact point for the Chief Executive’s external professional contacts.
Other Duties:
- Contribute to, research or manage specific projects, whenever required by the Chief Executive commensurate with the grade of the post;
- Manage Badminton England Honours and Awards in liaison with the Awards Committee;
- Exercise confidentiality, discretion and personal sensitivity in all aspects of the role
- Undertake other duties from time to time as reasonably required by the Chief Executive
