THIS ROLE IN A NUTSHELL:

This role is an excellent opportunity for an experienced and business focused EA to join a fast paced team with a broad remit. Operations is the largest function within OVO (with over 80% of our people) and is responsible for all customer facing in-life experiences.

The ideal candidate will have proven EA experience at C-Suite level in a fast moving, tech organisation, ideally supporting within Operations area or will have a genuine interest and awareness of the industry. Some qualities that are key to the success of the role are listed below;

  • Management - You will be happy to work as part of a collaborative team and manage assistants within Operations are direct reports of the COO by coaching, mentoring and providing general support. You will also work closely with senior EAs / line managers to set the standard for ways of working by being a resource for information and processes
  • Adaptable - There may be other ad hoc support required at times if requested by your line manager, the COO and their leadership team. The Assistants team at OVO work closely by sharing knowledge, collaborating and acting as a department in the business. Cover for other EAs is standard and will be required during annual leave periods and occasionally leaning into other areas of the business as and when needed.

Everything we do here spins around Plan Zero. So, naturally, the team you’ll be joining plays a gigantic role in making that happen. Here’s how:

  • You will be part of the Assistants team, reporting into the EA to the CEO. This is a great opportunity for a business focussed EA who would like to join a fast paced, tech organisation where EAs provide strategic support, regularly collaborate and act as a department
  • This is an excellent opportunity for a business focussed EA who would like to gain further exposure in a fast-paced technology environment with a genuine interest in looking to build a strategic partnership. You will be of invaluable support to the COO and set the standard as Senior EA for the wider Assistant team within the Operations area.
  • This is a hybrid role, with travel required into our London office (minimum 3 days a week) and wider travel to events and/or our hubs in Bristol and Scotland is also to be expected on a monthly basis depending on events, projects/ support requirements etc

You will provide strategic Executive Assistant support to the COO and their leadership team, the role is an extremely fast paced and varied role with the need for a proactive, agile approach to problem solving, the role includes but is not limited to the key responsibilities outlined below;

  • Provide 360 support to the COO, acting autonomously on their behalf and helping with priority setting / workload management
  • Event support including planning engagement events across operations including but not limited to Leadership off-sites, Monthly meetings, Village halls, Training, Plan Zero days etc. As well as running the logistics for the day of the event (e.g. room set up, catering, materials, etc.)
  • Arrange local, national and international travel and support with co-ordinating complex itineraries and building agendas for trips
  • General administrative tasks such as booking travel, processing expenses, booking restaurants, processing invoices, raising purchase orders etc
  • Full inbox management - managing incoming emails, responding on behalf of the COO, flagging emails accordingly and archiving old mail while keeping a high level of confidentiality
  • Complex and proactive diary management - a combination of in day and forward management as well as arranging meetings across several timezones with various internal and external stakeholders
  • Engagement - eyes & ears, supporting with team engagement strategies plus acting as key communicator
  • External and internal stakeholder management/ representation of the COO office
