Position Summary
The Executive Assistant (EA), Human Capital Operations will work directly for the Chief Human Resources Officer (the CHRO) and SVP of Human Resources (SVP) to enable efficient use of time and resources, information and decision processes. This role will be responsible for providing overall Human Capital division strategic support; collaborating across the Human Capital leadership team to direct alignment; connecting and integrating workstreams to avoid silos, communicating across the leadership team and broader W&D; and providing objective insights to CHRO and leadership team on W&D’s people priorities.
Primary Responsibilities

Managing Executive Schedules

  • Manage and optimize the CHRO and SVP’s calendars and schedules, ensuring efficient time management by prioritizing meetings, engagements, and critical deadlines; proactively identify and resolve scheduling conflicts while coordinating with key stakeholders.
  • Establish and oversee the management routines for the CHRO, SVP and key Human Capital leaders.

Communication Management

  • Serve as liaison between CHRO, SVP and other stakeholders to identify priorities (and potential risks) while ensuring regular communication, idea sharing, and progress updates;
  • Stay apprised of all Human Capital Leaders priorities, challenges and progress toward goals and CHRO priorities;
  • Attend Human Capital functional team meetings as a representative of the CHRO and SVP;
  • Foster steady and effective daily communication channels throughout the Human Capital organization and other W&D team members;
  • Develop CHRO and SVP communication campaigns with leaders and all employees with a focus on building culture through program awareness and increased transparency;
  • Contribute to departmental pages on WD Connect, Workday and Box Hubs to ensure updates and transparency; and
  • Support CHRO and SVP to prepare for all meetings, including draft client-ready deliverables.
  • Assist CHRO and SVP in tracking the status of initiatives led by their direct reports.

Reporting Support

  • Support departmental reporting, preparing analyses and insights by working in collaboration with Human Capital team members to:
  • Create and maintain daily Human Capital dashboard for CHRO and other leaders;
  • Prepare regular Human Capital KPI and OKR reports;
  • Review monthly department financial results compared to budget;
  • Review monthly people results compared to benchmark;
  • Prepare monthly Human Capital updates;
  • Prepare quarterly business reviews; and
  • Track and report quarterly on Human Capital progress against the Company’s 5-year plan.
  • Accurately process and manage expense reports, including reconciling receipts, tracking spending, and ensuring compliance with company policies. Monitor and resolve discrepancies, prepare detailed summaries for leadership review, and ensure timely submission to meet all reporting deadlines.

Meeting Preparation & Follow-Up

  • Organize and coordinate meetings by scheduling, preparing materials, communicating with participants, taking notes, and providing follow-up actions. Lead meetings when necessary to ensure smooth execution.
  • Assist with the Management Committee, ensure each meeting has an agenda, appropriate meeting materials, post-meeting materials for department heads to communicate with their teams, and ensure that any follow up items are tracked and completed; and
  • Plan and execute group meetings and events for the department.

Operational Support

  • Support change management initiatives to ensure progress, buy-in and learning.
  • Coordinate integration and special-projects activities across businesses and departments, and provide status updates on progress to the CHRO, leveraging Asana and other technology;
  • Support vendor analysis, selection, and evaluation; and
  • Conduct ad hoc analysis or support of other projects and duties as needed.

Education and Experience

  • Bachelor’s degree required;
  • 7-10 plus years of relevant work experience required;
  • Previous human resources experience preferred; and
  • Ability to travel up to 5%.

  • Demonstrated experience in executive assisting and project management.

  • Ability to read, analyze, and interpret complex financial documents;
  • Detail-oriented, accurate, and efficient;
  • Masterful Microsoft Excel and PowerPoint skills required; and

This position has an estimated base salary of $100,000 - $115,000 plus discretionary bonus. An employment offer is based on the applicant’s relevant work experience, applicable knowledge, skills, abilities, internal equity, and alignment with market data.
