Job Description We have an exciting opportunity for a highly experienced, professional and proactive Executive Assistant to partner closely with our Chief Operating Officer. This is a senior‑level EA role, requiring proven experience supporting C‑suite or equivalent executive leaders in a fast‑paced, complex environment. As a trusted partner and key conduit for the COO, you will operate with sound judgement, discretion and influence, remaining several steps ahead in planning, prioritisation and execution. Success in this role relies on your ability to anticipate needs, manage competing priorities, and provide seamless executive support at a strategic level. The role includes periodic travel between our Brisbane and Maroochydore offices, as well as travel to attend meetings alongside the COO when required. Key Responsibilities Include: Provide high-level confidential and professional executive support Proactively manage complex email and diary arrangements, including prioritisation, scheduling, negotiation of competing demands, and coordination of meetings Prepare high‑quality presentations, reports, correspondence and briefing materials Compile agendas, briefing packs and background research to support executive decision‑making Manage and coordinate international and domestic travel arrangements Act as a trusted first point of contact for internal and external stakeholders, managing requests and enquiries with discretion and professionalism Attend meetings with the COO when required and support follow‑up actions Maintain efficient, secure and compliant filing and information management systems Draft and distribute company‑wide communications on behalf of the COO Support the drafting and posting of internal and external communications, including social media content, as required Qualifications This role requires a highly resilient, organised and commercially minded professional with a demonstrated ability to operate at pace and with confidence in senior executive environments. To be successful you will need: Minimum 5 years demonstrated experience in providing high level corporate executive support, including direct support to senior executive or C-suite leaders Proven capability to manage sensitive information with absolute confidentiality and discretion Advanced proficiency in Microsoft Office, with strong Excel and numeracy skills Experience supporting budget tracking, cashflow planning and basic financial reporting Exceptional written and verbal communication skills, with the ability to liaise effectively at all levels Strong initiative, sound judgement, flexibility and a proactive approach to problem‑solving Demonstrated ability to self‑manage, prioritise and operate effectively with limited supervision Additional Information At Minor Hotels, we value our people as the heart of our success.
