About the role We’re looking for a highly organised, proactive and trusted Executive Assistant to support our Group Chief Operating Officer and the Chief Operating Officer for Perpetual Asset Management Australia. You’ll be the central coordination point for two complex executive portfolios - ensuring seamless operations, clear prioritisation, and a well‑run rhythm of business. This role is critical to keeping both COOs focused on what matters most. You’ll operate as a connector across the organisation, a problem‑solver, and a steady hand in a fast‑moving environment. Your contribution will help our leaders remain effective, informed and impactful. Key Responsibilities: Operate a single, professional “front door” for the COOs - triaging requests, balancing priorities and protecting focus time. Establish and maintain joint operating rhythms including weekly priorities, decision forums and action tracking. End‑to‑end ownership of two complex executive calendars, including preparation, prioritisation and contingency planning across time zones. Coordinate domestic and international travel, logistics for conferences, workshops, offsites and leadership events. Prepare and quality‑assure presentations, leadership packs, Board and Committee papers; manage deadlines and version control. Support COO‑led governance and steering forums by coordinating papers, logistics and actions. Build strong relationships with senior internal and external stakeholders, vendors and partners across Operations, Technology, Risk, Finance and Corporate Functions. Support leadership communications, events and team activities. Draft internal communications and talking points; maintain accurate intranet content. Process invoices, expenses and purchase orders; track EA‑managed budget lines when required. Maintain distribution lists, shared mailboxes and collaboration spaces with strong confidentiality and information security practices. What We’re Looking For: HSC or equivalent; tertiary qualifications preferred. Minimum 5 years’ experience supporting C‑Suite or Group Executive‑level leaders. Experience in financial services; global exposure desirable. Strong judgement, confidentiality and stakeholder management capability. Resilience and adaptability in fast‑paced, dynamic environments. Experience supporting technology or operations executives advantageous. Exceptional organisational skills, attention to detail and ability to anticipate needs. Excellent written, verbal and analytical skills. Advanced Microsoft Office capability (PowerPoint, Excel, Word, Outlook). Strong digital literacy and experience with collaboration tools (Teams, SharePoint). Ability to manage deadlines and priorities for two executives simultaneously. Commercial acumen and ability to quickly grasp business context.
