We seek an experienced professional skilled in accuracy, forward-thinking planning, and timely management of the CEO and CFO’s calendars. You will ensure timely delivery of materials, well-organized meetings and events, reliable logistical arrangements, and professional interactions. Strong collaboration with colleagues is also essential.

On top of that, you will have:

  • Solid working experience as a Personal/Executive Assistant to executive leaders.
  • The ability to prioritize and manage multiple assignments simultaneously while resolving practical issues.
  • Effective communication and interpersonal skills, demonstrating diplomatic abilities.
  • Sound judgment, a high level of integrity, and the capacity to manage highly confidential and sensitive information.
  • A proactive and structured approach, involving the right people to maintain momentum and meet deadlines.
  • Fluent written and spoken English (Danish is not a requirement).
  • Strong organizational and flexible skills, with excellent time management and prioritization abilities, thriving in fast-paced environments while excelling in both administrative and planning responsibilities.
Responsibilities
  • Facilitating meeting planning, including coordination and material gathering.
  • To monitor the CEO and CFO’s inboxes, sort incoming emails, and communicate on their behalf when necessary.
  • Managing travel settlements, approve invoices, and ensure timely registration for the CEO and CFO, along with other administrative tasks.
  • To arrange meeting rooms and equipment, serving as a primary support point.
  • Collaborating closely with the Executive Office team to plan COWI’s annual schedule, including Board meetings, ELT meetings, and key leadership seminars.
  • To prepare and assist in creating meeting materials, including presentations for the Board, Audit Committee, ELT, and other management meetings
