Job Title: Executive Secretary to the CEO Location: Abu Dhabi, UAE. Organization: International Community Schools (ICS) Job Summary International Community Schools (ICS), a leading group of schools with multiple branches across Abu Dhabi, is seeking a highly professional and proactive female Executive Secretary to the CEO. The ideal candidate will provide high-level administrative and executive support to the CEO, ensuring smooth coordination of executive operations. The candidate must be fluent in both Arabic and English (written and spoken) and capable of handling confidential matters with integrity and professionalism. Key Responsibilities Provide comprehensive administrative and executive support to the CEO. Manage the CEO’s calendar, appointments, meetings, and travel arrangements. Prepare correspondence, reports, presentations, and official documents in Arabic and English. Draft, translate, and review internal and external communications. Coordinate with school branch leaders, department heads, and external stakeholders. Organize executive meetings, prepare agendas, record minutes, and follow up on action items. Handle confidential information with the highest level of discretion. Screen and prioritize emails, phone calls, and inquiries. Maintain organized filing systems (physical and digital). Assist in preparing board reports and executive summaries. Ensure timely communication between the CEO’s office and all departments. Support strategic initiatives and special projects as assigned by the CEO. Requirements Requirements & Qualifications Bachelor’s degree in Business Administration or a related field. Minimum 2-3 years of experience as an Executive Secretary, Executive Assistant, or similar senior administrative role. Fluency in Arabic and English (mandatory). Excellent written and verbal communication skills in both languages. Strong organizational and time-management skills. High level of professionalism and confidentiality. Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). Ability to multitask and work under pressure in a fast-paced environment. Strong interpersonal skills with the ability to interact with senior management and stakeholders. Experience in the education sector in the UAE is an advantage. Knowledge of UAE professional and corporate etiquette is preferred.
