Position Summary The Executive Assistant to the CEO ensures the CEO’s time, priorities, and workflows run with precision in a fast‑paced, high‑growth nonprofit. This role is responsible for optimizing the CEO’s day‑to‑day effectiveness by anticipating needs, removing friction, and managing complex logistics with accuracy and speed. This role requires consistently staying several steps ahead of the CEO, anticipating needs before they arise, and executing quickly to ensure the CEO’s time and attention remain fully focused on mission‑critical priorities. Acting as a force multiplier, the Executive Assistant supports alignment, accelerates decision‑making, and contributes to advancing the organization’s mission at scale. Core Responsibilities Operational Command & Strategic Anticipation Think‑Ahead Protocol: Maintain full ownership of the CEO’s day‑to‑day and long‑term readiness. Identify potential friction points—such as meeting conflicts, missing materials, or logistical gaps—and resolve them proactively. High‑Performance Briefing: Ensure the CEO is fully prepared for all engagements. Partner closely with the VP, Strategic Integration to secure and synthesize materials, ensuring briefing documents are delivered at least 24 hours in advance. Coordinate end‑to‑end travel and logistics for the CEO and leadership teams. Board Relations & Governance Act as a professional point of contact for the Board of Directors. Coordinate communications, schedules, and committee activities. Prepare, format, and distribute board materials with zero‑error accuracy. Event Coordination Plan and execute onsite and offsite events, including retreats, leadership meetings, and board gatherings. Manage vendor coordination, venue logistics, catering, AV, and guest management. Lead the run‑of‑show during events to ensure seamless execution. Technical & Systems Proficiency Serve as a power user of Microsoft Office 365 (Outlook, Excel, PowerPoint). Support alignment of the CEO’s schedule and priorities with organizational OKRs via Workboard. Maintain accurate data tracking and document preparation. Flexibility & Agility Adapt to shifting priorities and extended hours consistent with the pace of a high‑performance CEO. Success Profile Thrives in a high‑speed, growth‑oriented environment. Advanced proficiency in Microsoft Office; familiarity with Workboard and Salesforce. Strong logistics, event coordination, and executive‑level communication skills.
