The Executive Assistant will provide comprehensive administrative, strategic, and logistical support to the CEO. This role is crucial for ensuring the CEO’s time is managed effectively, priorities are met, and all professional obligations are handled with the highest level of professionalism and confidentiality. The ideal candidate is a self-starter who can anticipate needs, solve problems, and manage a wide range of tasks with minimal supervision.

Requirements

  • Experience: Proven experience as an Executive Assistant or in a similar administrative role, preferably supporting a C-level executive.
  • Technical Skills: Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Experience with project management and CRM software is a plus.

Responsibilities
  • Calendar and Travel Management: Manage the CEO’s complex calendar, including scheduling internal and external meetings, conferences, and appointments. Coordinate all aspects of domestic and international travel, including flights, accommodations, and ground transportation.
  • Communication and Correspondence: Serve as the primary point of contact for internal and external stakeholders. Draft, review, and proofread emails, reports, presentations, and other documents on behalf of the CEO.
  • Meeting Preparation and Follow-up: Prepare agendas, presentations, and materials for meetings. Attend meetings, take detailed notes, and follow up on action items to ensure timely completion.
  • Business Development Support: Coordinate and track follow-up activities related to business development leads and partnerships. Schedule meetings with potential clients and partners and maintain an organized system for contact management.
  • Project Management: Assist in the management of special projects and initiatives as assigned by the CEO.
  • Expense Reporting: Prepare and submit expense reports accurately and in a timely manner.
  • General Administrative Support: Handle a variety of administrative tasks, including answering phone calls, managing filing systems, and ordering office supplies.
