JOB SUMMARY

The Executive Assistant to the Chief Executive Officer (CEO) is a trusted strategic partner, ensuring the CEO’s time and focus are dedicated to the company’s highest priorities. This individual skillfully manages complex schedules, navigates shifting priorities, and handles sensitive matters – both professional and personal – with absolute discretion. Serving as the CEO’s primary point of contact for internal and external stakeholders, the Executive Assistant also acts as a liaison to the Board of Directors and drives the successful execution of special projects.

REQUIREMENTS

  • High School Diploma or GED (Required)
  • Bachelor’s Degree in business or related field (Preferred)
  • Minimum 7 years’ experience supporting a C-level executive (Required)
  • Minimum 2 years’ experience supporting an executive of a publicly-traded company (Preferred)
  • Strong attention to detail, organizational and multitasking skills
  • Ability to interpret and effectively manage a large and complex workload with competing priorities
  • Excellent communication and interpersonal skills
  • Ability to work independently as well as a team in a fast-paced multi-tasked environment
  • Ability to maintain strict levels of confidentiality
  • Advanced computer proficiency with the Microsoft Office suite
  • Ability to provide data entry in a timely and efficient manner
  • Ability to work extended hours on a regular basis
  • Ability to respond to business needs after normal business hours
  • Ability to perform in-person work on a consistent basis
  • Ability to travel 0-10% of the time
  • Notary Public (Preferred)

  • Track deadlines, deliverables, and milestones for key strategic initiatives, maintaining executive visibility. (Essential)
  • Manage confidential matters related to the CEO’s personal and professional interests, maintaining the highest level of confidentiality regarding company information, business transactions, and personal matters. (Essential)
  • Prepare and edit correspondence, communications, presentations, agendas, and reports with precision and professionalism. (Essential)
  • Anticipate needs, solve problems before they arise, and serve as a steady, trusted presence in a high-pressure environment. (Essential)
  • Effectively allocate CEO’s time by screening calls, correspondence, and meeting requests. (Essential)
  • Prepare comprehensive travel itineraries with contingency planning for schedule changes, weather disruptions, and last-minute priority shifts. (Essential)
  • Coordinates team member selection and development and ensures team members comply with appropriate policies and procedures.
  • Arrange and manage all aspects of domestic and international travel for the CEO—both business and personal—including flights, ground transportation, accommodations, and dining arrangements.
  • Drive strategic and operational projects from conception to completion, ensuring milestones and deliverables are met on time and with excellence.
  • Exercise sound judgment in handling sensitive communications and decision-making.
  • Conduct research and compile information to support various projects and initiatives.
  • Research, resolve, and follow up on concerns in an appropriate manner.
  • Coordinate board meetings and board communications, investor relations activities, and executive leadership team communications.
  • Coordinate tasks of a personal nature for the CEO, exercising discretion and professionalism.
  • Prepare, reconcile, and submit expense reports, ensuring accuracy, compliance, and timeliness.
  • Review, code, and submit invoices for payment.
  • Notarize documents as needed.
  • Other duties and special projects as assigned.
