Description

Zipdev is looking for a proactive, detail-oriented Executive Assistant to join our client, a dynamic company led by a fast-moving CEO. The EA will act as a strategic partner to the CEO, helping manage communications, scheduling, CRM updates, and light sales support. This fully remote position requires someone who is highly organized, tech-savvy, and capable of working independently while handling sensitive information with professionalism.

REQUIREMENTS:

Responsabilities

Executive & Communication Support

  • Draft and edit emails, memos, and internal communications on behalf of the CEO.
  • Use AI tools to generate content and adapt messaging to the CEO’s voice.
  • Maintain confidentiality and ensure clear, professional correspondence.

Calendar, Meetings & Inbox Management

  • Manage the CEO’s calendar, schedule meetings, and protect focus time.
  • Monitor and respond to emails, triage inbox priorities, and follow up on meetings.
  • Prepare agendas and coordinate logistics for internal and external calls.

CRM & Business Development Support

  • Maintain and update CRM records (HubSpot).
  • Send follow-ups and outreach emails to prospects and partners.
  • Conduct research on key contacts and assist in nurturing business relationships.

Task & Project Management

  • Track CEO’s action items and project deadlines using tools like Microsoft To-Do.
  • Break down ideas into actionable tasks and follow up with the right stakeholders.
  • Keep projects moving forward by flagging needs and ensuring accountability.

Personal & Administrative Tasks

  • Coordinate CEO’s travel, logistics, gift sending, and personal scheduling.
  • Manage confidential tasks with discretion and attention to detail.
  • Support CEO’s energy and focus by structuring their day strategically.

REQUIREMENTS:

  • 2+ years of experience as an Executive Assistant or similar high-level admin role.
  • Experience supporting C-level executives remotely.
  • Strong communication skills in English (spoken and written).
  • Proficiency in Microsoft Suite, SharePoint, Teams, and WhatsApp.
  • Familiarity with CRM platforms (HubSpot preferred).
  • Ability to work Pacific Time hours (LATAM-based candidates preferred).
  • Tech-savvy and comfortable using AI tools, productivity platforms, and cloud storage.
  • High emotional intelligence, resourcefulness, and ability to work independently.
  • Excellent fluency in English (Both written and verbal)
  • Currently living in Latin America.
