HOW YOU’LL ADVANCE OUR MISSION | POSITION OVERVIEW The Executive Assistant to the CFO provides high-level, confidential administrative and operational support to the Chief Financial Officer. This role requires exceptional judgment, discretion, organizational sophistication, and the ability to anticipate needs in a fast-paced, complex environment. Additionally, this role will also support two other executives, the Chief Technology Officer and The Carolina Theater Executive. The ideal candidate is a seasoned executive assistant who thrives in supporting strategic leaders, managing competing priorities, and serving as a trusted partner to executive leadership. YOUR UNIQUE IMPACT | ROLES & RESPONSIBILITIES Executive & Administrative Support Provide comprehensive calendar management for the CFO, with supporting duties to the Chief Technology officer and The Carolina Theater Executive, including prioritization, coordination of internal and external meetings, and proactive conflict resolution Manage complex travel arrangements, itineraries, and expense reporting in compliance with foundation policies Serve as a primary point of contact for executive communications, exercising sound judgment and discretion Prepare, edit, and format executive-level materials including presentations, reports, briefing documents, and correspondence Track and follow up on action items, deadlines, and deliverables to ensure timely execution of executive priorities Strategic & Operational Support Support planning and logistics for board meetings, committee meetings, and senior leadership meetings, including agenda preparation and materials coordination Partner with Finance, Technology, and other internal teams to facilitate cross-functional coordination and information flow Assist with budget tracking, vendor coordination, contract administration, and technology-related initiatives as appropriate Maintain organized electronic and physical filing systems, ensuring accuracy, confidentiality, and accessibility Communication & Stakeholder Engagement Interface professionally with board members, donors, external partners, auditors, consultants, and senior leaders Draft and manage sensitive communications on behalf of the CFO and CTO Represent the executives and the foundation with professionalism, tact, and diplomacy Confidentiality & Compliance Handle highly confidential financial, personnel, and organizational information with the utmost discretion Ensure adherence to internal policies, governance practices, and nonprofit compliance standards Requirements WHAT YOU’LL NEED FOR SUCCESS: QUALIFICATIONS Required 7+ years of progressive experience providing executive-level support to senior leaders (C-suite or equivalent), preferably supporting multiple executives Demonstrated experience working in complex organizations; corporate, foundation, or financial/technology environments strongly preferred. With the ability to organize and plan events Exceptional organizational, time-management, and prioritization skills with proven ability to manage competing demands Strong written and verbal communication skills with attention to detail High level of professionalism, discretion, emotional intelligence, and sound judgment Preferred Experience supporting Finance, Technology, or Operations executives Experience in organizing financial processes, month-end close and audits Familiarity with board governance processes and executive leadership teams Technical Skills & Tools Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams) Comfort with collaboration and project tools (e.g., SharePoint, OneDrive, Smartsheet, Asana, or similar) Experience with expense management and travel systems Ability to quickly learn new financial, technology, or enterprise systems Core Competencies Executive presence and confidence Anticipatory problem-solving Strong attention to detail with a big-picture mindset Ability to work independently while collaborating effectively with senior leadership and peers
