SUMMARY

Barrantes & Associates Inc. is looking for a dedicated Executive Assistant to the COO to join our growing team. In this key role, you will provide direct support to the COO, ensuring smooth day-to-day operations, streamlined administrative processes, and meaningful contributions to our mission of supporting individuals in our group homes and throughout the community.

REQUIREMENTS

  • Previous experience in an administrative or executive support role.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication abilities.
  • Proficiency with Microsoft Office Suite (especially Outlook Calendar and data entry).
  • Experience with Canva, Monday.com, and Google Workspace is an asset.
  • Familiarity with QuickBooks is helpful but not required.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Commitment to handling confidential information with integrity.
Responsibilities
  • Administrative Support & Scheduling: Coordinate calendars, organize meetings, prepare agendas, and record accurate meeting minutes.
  • Marketing & Research: Conduct research on new services, identify market opportunities, and analyze competitors to inform growth strategies.
  • Workflow Optimization: Review and refine workflows, supporting system and process improvements.
  • Reporting & Documentation: Prepare professional reports, presentations, and other documents as needed.
  • Finance & Budgeting: Track office, residential, and community program expenses; assist with budget monitoring and prepare mileage totals for payroll.
  • Content & Communications: Develop social media posts, contribute to website updates, and support internal and external communications.
  • Event Support: Assist with planning meetings, company events, annual conferences, and team-building activities through the Social Committee.
  • Confidentiality: Handle sensitive company, client, and employee information with the highest level of discretion, following all policies and laws.
  • Other Duties: Take on additional tasks as required to support the team and leadership.
