Job Summary: The successful candidate provides timely and responsive administrative support to varied members of the SRCH executive team. Responsibilities include administrative duties such as managing calendars, preparing documents and presentations, and coordinating travel and supporting logistics for special events or strategic initiatives. Board liaison duties include preparing and staffing board meetings and serving as liaison to the Board of Directors. The position requires a high level of professionalism in written and verbal communication and effective organization and accuracy while carrying out diverse assignments. An ability to relate constructively with all people in the organization and the community at large is essential. Specific Duties and Responsibilities: Manage select executive team calendars. Coordinate and schedule appointments and meetings. Perform administrative duties such as preparing and editing correspondence and presentations. Maintain accurate and up to date filing and organization of key documents. Coordinate travel arrangements. Support communication and documentation with Board of Directors, including taking minutes, preparing board packets, and following up with board members on varied tasks. Take meeting minutes as requested by team. Schedule and coordinate logistics for executive team meetings with diverse stakeholders, including SRCH staff, community partners, and donors. Provide administrative support for community, patient, and staff events or initiatives, as assigned. Support meeting and/or event follow-up communications or activities. Other duties as assigned. Qualifications MINIMUM QUALIFICATIONS: Education: Four-year degree in related field from accredited college or university or equivalent experience. Experience: Five years of experience as an Executive Assistant required. Experience supporting community engagement and/or fund development activities preferred. Knowledge and Skills: Commitment to organizational mission, vision, and values. Highly organized, accurate, and detail oriented. Impeccable honesty and integrity. Demonstrates knowledge of compliance issues within the community clinic environment. Maintains absolute confidentiality of all information, including but not limited to personnel, board, and patient information. Sensitivity to and willingness to interact with persons of various social, cultural, economic and educational backgrounds. Advanced level of proficiency with Microsoft Office applications including Outlook, Word, Excel and PowerPoint. Ability to quickly learn new computer programs. Strong organizational skills with ability to prioritize projects, work independently, manage multiple tasks, and meet deadlines. Strong written and verbal communication skills including proof reading for accuracy, grammar, and tone. Strong interpersonal skills. Ability to work with people with a variety of background and educational levels. Good judgment, problem solving and decision-making skills. Interest and ability to represent the agency internally and in the public. Requires the use of a car, valid CA driver’s license, and insurance.
