This role is critical in ensuring smooth day-to-day operations at the leadership level, with responsibilities spanning executive scheduling, meeting coordination, project tracking, and confidential correspondence. Duties and Responsibilities: Executive Support (President) Manage the President’s calendar, schedule, and meeting requests with efficiency and discretion. Coordinate leadership meetings, client appointments, and industry events. Handle confidential correspondence, presentations, and reports. Prioritize requests and ensure the President is prepared for meetings and deadlines. Arrange domestic and international travel, itineraries, and event logistics. Scheduling Support (Head of Architecture) Assist with calendar management for the Head of Architecture. Schedule design reviews, consultant coordination sessions, and internal team check-ins. Track and follow up on project deadlines and deliverables. Support coordination across architecture and interior design teams. General Administrative & Team Support Prepare and distribute agendas, meeting notes, and follow-up action items. Act as liaison between leadership, clients, consultants, and staff. Maintain accurate and up-to-date files, records, and project documentation. Support firm-wide initiatives, events, and executive communications as needed. Perform other related duties as assigned. Requirements Required Skills and Abilities: Excellent verbal, written, and interpersonal communication skills; confident interacting with executives, clients, and staff. Excellent organizational skills, attention to detail, and adaptability in a dynamic environment. Excellent time management skills with a proven ability to achieve high-performance goals and meet deadlines in a fast-paced environment. Critical-thinking and problem-solving skills; ability to think out of the box to find a solution. Resourceful team player, with the ability to also be effective independently. Ability to comprehend and follow directions from multiple leadership sources and to prioritize projects and requests. Ability to manage multiple priorities, deadlines, and sensitive information with discretion. Advanced proficiency in Microsoft Office Suite, Outlook, Teams, Zoom, and scheduling platforms. Education and Experience: Bachelor’s degree preferred or equivalent relevant experience. 5+ years of experience in an Executive Assistant or senior administrative role; prior experience in architecture, design, or professional services strongly preferred.
