QUALIFICATIONS

  • Associates Degree required/Bachelor’s Degree preferred
  • Experience in communications, public relations, and office management
  • Highly skilled in oral and written communications and software applications to include: Microsoft Word, Excel, Outlook, PowerPoint, Power Schools, Canva
  • Effective and efficient office management and organization
  • Knowledge of local, county, and state operation of K-12 school system
  • Ability to work and communicate effectively with staff and public
  • Minimum of 3-5 years recent communication and confidential office management experience

Responsibilities

PURPOSE

To effectively manage communications from the Superintendent’s office, both within the District and with external interested parties. To effect the efficient operation of the Superintendent and Human Resources offices.

PERFORMANCE RESPONSIBILITY AND DUTIES

  • Serves as confidential assistant to the Superintendent and Human Resources and exemplifies professionalism in all work-related matters and in matters of personal decorum
  • Maintains an in-depth understanding of the functions of the Superintendent and Human Resources offices
  • Performs a wide variety of duties which require independent judgment and decision making based on knowledge of school organization, policies, and personnel
  • Takes initiative, makes decisions (as appropriate and within scope of duties), and accepts responsibility
  • Answers telephone, greets visitors, takes and transmits messages, and responds to inquiries as appropriate
  • Works cooperatively with students, parents, community members, staff, administrators, government officials, businesses, school systems, and other members of the public
  • Sets up, maintains, and controls the use of all files as required, including Superintendent’s files, Board of Education files, Human Resources confidential files, and general files
  • Maintains schedule related to appointments, meetings, reservations, school events, conferences, interviews, etc., in Superintendent’s calendar
  • Prepares all notices, newsletters, and materials for use by the Board of Education in paper and electronic formats
  • Produces publications and multi-media materials, which will enhance public understanding and support for the District
  • Attends all Board of Education meetings, takes Board meeting minutes and prepares for approval and distribution, maintains permanent official Board minutes records and follows through on matters, as required
  • Arranges reservations, registration, travel arrangements, meetings, workshops, classes, etc. for Board Members
  • Cooperates with administrators, as appropriate, in publicizing and promoting any performances, exhibitions, displays or special programs, which are school sponsored and open to the public
  • Receives and directs all written correspondence on behalf of the Superintendent and Board of Education
  • Keeps updated on State of Michigan laws, policies, and trends affecting education
  • Communicates updates for the district website relating to the Superintendent and Board of Education to Curriculum
  • Performs such other functions and duties as assigned by the Superintendent
