MAJOR NEW YORK STATE AGENCY HAS IMMEDIATE OPENING FOR QUALIFIED EXECUTIVE ASSISTANT TO VP/EXECUTIVE DIRECTOR TO PROVIDE EXECUTIVE SUPPORT TO MOTION PICTURE AND TV DEPARTMENT AND SERVE AS A LIAISON BETWEEN FILM AND TELEVISION INDUSTRY AND NYC STATE AND LOCAL GOVERNMENTS, AGENCIES AND AUTHORITIES

REQUIREMENTS:

· Associates degree
· Previous experience supporting executive management
· Strong communication – written and oral
· Detail-oriented and highly organized

· Computer proficiency (esp. M.S. Outlook, Excel, PowerPoint and Word)
· Excellent presentation preparation skills
· Energetic, positive demeanor to work across all levels of government, film, TV, and Arts industry

Responsibilities

· Prepare draft memoranda, correspondence, reports and worksheets
· Liaise with IT and others to ensure that staff has access to all resources and training
· Supply Procurement – Order supplies
· Liaise with IT to manage all office technology: printers, copiers, phones, computers, etc.
· Calendaring – appointments, meetings, conference calls, trainings
· Prepare expense reports and make travel arrangements
· Collaborate with operations teams to create, organize and maintain records filing system
· Review invoices for accuracy and valid signatures prior to VP approvals
· Complete special projects as assigned
· Handle sensitive and confidential information discreetly
