PART-TIME EXECUTIVE ASSISTANT

BioEquity Clinical Network & Transformation Counselling – Kitchener-Waterloo & Online
We are seeking a detail-oriented and highly organized Part-Time Executive Assistant to support our clinical operations and administrative needs. This role is perfect for someone who enjoys variety, thrives in a fast-paced environment, and is eager to contribute to a mission-driven mental health practice.

QUALIFICATIONS:

  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Comfortable learning and using tools like JaneApp, Squarespace, Webflow, and basic billing systems
  • Able to manage multiple priorities and meet deadlines
  • Professional, friendly, and resourceful
  • Experience in healthcare or mental health administration is an asset but not required

Responsibilities
  • Clinical Administration:
  • Update JaneApp schedules, costs, and session details
  • Process direct billing payments and follow up with clients for overdue balances or direct billing requests
  • Assist with onboarding new therapists and staff
  • Send NDAs and other documentation to partners and prospective clients
  • Submitting and updating direct billing registration requirements
  • Website & Online Presence:
  • Update our Squarespace and Webflow websites as needed
  • Update and create directory listings
  • Client & Partner Communication:
  • Answer emails and manage team inboxes
  • Provide timely, professional communication with clients, therapists, and partners
  • On-Site Support:
  • Assist with in-person needs at our local Kitchener-Waterloo locations on an as-needed basis
  • General Support:
  • Tackle a variety of administrative and operational tasks to support the team’s needs
