Position Overview: The Executive Assistant will provide administrative support to and act as a liaison between the EVP, Chamber staff, and external stakeholders. The executive assistant will work closely with the EVP to ensure that our day-to-day operations run smoothly. The successful candidate will be highly organized, detail oriented, and able to work independently in a fast-paced environment. Responsibilities: Manage the EVP’s calendar in an organized and efficient manner, including scheduling meetings and appointments and coordinating domestic and international travel arrangements, including flights, hotel reservations, and ground transportation. Serve as the primary point of contact for internal and external communications on behalf of the EVP. Manage meeting logistics. Greet and escort visitors. Coordinate and prioritize incoming requests, ensuring timely responses and follow-ups. Flag important communications for follow-up. Provide general administrative support, including answering phones, responding to emails, and ordering office supplies. Prepare and organize materials for meetings, presentations, and events, ensuring that the EVP is well prepared. Handle confidential and sensitive information with the utmost discretion and professionalism. Precisely and strategically execute a variety of tasks with high attention to detail, organization, and process. Provide high-level, tailored support to the EVP. Partner closely with colleagues to plan and execute meetings and coordinate shared activities. Perform other administrative duties as assigned. Qualifications: 5+ years of experience in an administrative support role, preferably supporting executive-level staff. Exceptional executive scheduling, organizational, and time-management skills with the ability to oversee multiple priorities in a fast-paced environment. Ability to juggle multiple busy and complex schedules to execute and prioritize scheduling requests. Build and maintain a strong network internally and externally with other executive schedulers to facilitate scheduling. Outstanding verbal and interpersonal skills with grace under pressure and attention to detail and accuracy. Proficiency in Microsoft Office, including Word, Excel, and PowerPoint. Ability to work independently and handle multiple tasks simultaneously. Ability to maintain confidentiality and exercise discretion at all times. The salary range for this position is $68,000 to $73,000. The actual salary paid for this position will vary based on market data, an applicant’s qualifications, relevant degrees, certifications, and other factors.
