GENERAL DESCRIPTION

We are seeking an experienced and highly organized Executive Assistant to provide administrative support to the senior management team. The Executive Assistant will be responsible for managing schedules, organizing meetings and events, handling confidential information, and providing general administrative support to ensure the smooth running of the organization.

MINIMUM QUALIFICATIONS

  • At least 3-5 years of experience in an executive assistant or similar role.
  • Excellent organizational and time-management skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office and other office management software.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Experience working with senior executives in a fast-paced environment.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

PREFERRED QUALIFICATIONS

  • Bachelors degree in Business Administration, Communications, or a related field.
Responsibilities
  • Responsible for keeping the schedules of the senior management team up-to-date and well-organized to include scheduling meetings and appointments, making travel arrangements, and coordinating conference calls.
  • Will be managing conflicting priorities and find ways to optimize the schedules to ensure maximum efficiency.
  • Responsible for managing all forms of communication for the senior management team, including emails, phone calls, and mail.
  • Will be handling inquiries, resolve issues, and escalate urgent matters to the appropriate parties.
  • Will be creating, formatting, and editing various documents as required, including reports, presentations, and other materials.
  • Will be planning and organizing events, meetings, and conferences, both on-site and off-site to include identifying suitable venues, arranging catering, and coordinating with attendees to ensure a smooth and successful event.
  • Ensures the handling of sensitive and confidential information with the utmost discretion and professionalism while maintaining confidentiality
  • Will be conducting research on various topics and providing administrative support as needed. This includes data entry, filing, and other administrative tasks as required by the senior management team.
