EXECUTIVE ASSISTANT

Via East Midlands are seeking a highly professional and proactive Executive Assistant to provide dedicated support to our Managing Director and Senior Leadership Team based at our Head Office in Bilsthorpe.
Interviews for this role will be held on the afternoon of Monday 30th June and therefore candidates must be available on this date.
This role is pivotal in ensuring the smooth and efficient operations of Via’s Senior Leadership team, requiring exceptional organisational skills, discretion, and the ability to operate in a fast-paced, senior leadership environment.
This role is diary led and therefore we are looking for a candidate who can work to the needs of the Senior Leadership Team.

Responsibilities
  • Executive Support: Support the management the MD’s and Senior leadership teams inbox’s, drafting correspondence, preparing reports, briefing documents, and presentations.
  • Meeting & Diary Management: Schedule and coordinate meetings with internal and external stakeholders, including venue and travel arrangements.
  • Board Support: Prepare and distribute Board meeting packs, attend meetings, take minutes, and track follow-up actions.
  • Administrative Excellence: Deliver high-quality administrative support across document production, data handling, and records management.
  • Communication & Liaison: Act as the first point of contact for the MD’s office, handling queries with professionalism and tact.
  • Information & Action Management: Maintain accurate records of meetings and decisions, follow up on actions, and support project-related coordination.
