This role will provide administrative and operational support to the UK&I Regional Managing Director. You will provide support on various administrative activities, be responsible for ensuring tasks / projects are delivered on time and identify opportunities to add value through managing projects, overseeing frameworks and processes and building relationships with different areas and people. What we expect of you, day to day. Schedule meetings and appointments and manage travel itineraries Coordinate executive communications, including taking calls, responding to emails and interfacing with clients Support the preparation of internal and external corporate documents for team members and industry partners Create good communication & supportive client relationships Coordinate & arrange internal & leadership team meetings, manage the business cadence and support on agendas and documentation Submission of expenses, invoices and PO’s in Concur & Ariba Maintain a level of support and guidance to other EAs and PAs to enable the smooth running of the UK&I team Maintain an organized filing system Point of call for team enquiries Uphold a strict level of confidentiality Develop and sustain a level of professionalism among staff and clientele Qualifications What we're after.. Previous relevant experience within a Personal Assistant / Executive Assistant role Discretion combined with poise and professionalism in all communications Must be able to exercise good judgment regarding information which may be confidential Must have excellent communications skills both verbal and written and be confident communicating with senior level executives Ability to operate effectively and efficiently in a challenging, fast-paced environment. Customer service-focused with ability to work collaboratively with others Ability to multi-task and prioritize work with attention to detail. Solid planning, organizational and written and verbal communication skills Experience using Microsoft products including PowerPoint, Excel, Word, and Outlook Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities Additional Information Visa is an EEO Employer.
