Description:

HOW WILL I HELP?

The Executive Assistant (EA) will be responsible for providing support to the General Manager Technology Transformation by delivering the efficient and effective coordination of all administrative processes; as well as general support to the leadership team coordinating activities, payment of invoices, and expense reconciliation.

You will also be responsible for, but not limited to:

  • Diary management for the GM Technology Transformation, including coordination of internal and external meetings and ensuring they are fully prepared for all meetings with papers, appropriate travel and break times and proactively manage the follow-up of outstanding business issues.
  • Inbox management including filing, monitoring and prioritisation of emails based on urgency and importance.
  • Working closely with the Business Manager and the EAs across the wider Technology and Westpac network where required.
  • Booking travel arrangements including flights, accommodation, and transportation for business trips both domestic and international.
  • Managing expenses and processing accounts, payments, and reimbursements in a timely and compliant manner, in WEAPS, e-buy, COUPA and Promaster
  • General support to the business unit leads including approval of IT. requests, PeopleHQ requests, User Access Requirements, monitoring Data Loss Prevention tool and office attendance.
  • Update and maintain the team distribution lists.
  • Event management support including team offsites, town hall meetings and other gatherings as required.
  • Dealing with requests from key internal and external stakeholders.

Proactive, accountable, and able to execute responsibilities with professionalism, you will have:

  • Advanced diary and email management skills.
  • Strong PC literacy (MS Office: Word, PowerPoint, Excel, and Teams).
  • A high attention to detail with excellent planning and organisation skills.
  • Experience coordinating travel arrangements and accommodation.
  • Excellent verbal and written communication expertise.
  • Previous experience working in the financial services industry and a project environment is advantageous.
  • A strong knowledge of Westpac systems (preferred)
