Job Title: Executive Assistant with Digital Marketing Experience
Location: Kinsale, County Cork, Ireland (Remote-friendly; local travel in Cork may be required)
Working Hours: Full-time, Monday to Friday, 9:00 AM – 5:00 PM
Salary: €30,420 - €36,000 + Bonus Opportunities

QUALIFICATIONS & SKILLS

  • Proven Experience: At least 2+ years in an Executive Assistant, Chief of Staff, or similar role.
  • Marketing Background: Familiarity with digital marketing channels, ability to launch campaigns on Google Ads or Facebook Ads, and willingness to learn new platforms.
  • Tech-Savvy: Comfortable using AI tools (e.g., ChatGPT), collaborative software, and project management tools like ClickUp.
  • Communication: Excellent verbal and written communication skills; able to interface effectively with teams in multiple time zones. Happy to make calls and text updates.
  • Organizational Skills: Strong ability to multitask, prioritize workloads, and track multiple projects simultaneously.
  • Self-Starter: Highly motivated, resourceful, and able to work independently with minimal supervision.
  • Flexibility: Comfortable with an ever-changing to-do list and pivoting quickly when priorities shift.
  • Driving License (Optional but Beneficial): Ability to drive around Cork for errands, pick-ups, and other tasks is a plus.
Responsibilities

ABOUT THE ROLE

We are seeking an organized, proactive, and tech-savvy Executive Assistant / Chief of Staff with a strong marketing background to support a busy entrepreneur involved in multiple ventures across the United States and Ireland.
These ventures primarily include marketing companies, investment firms, and various side projects. This role goes beyond traditional executive support—you will act as the central point of contact and coordination across multiple teams, projects, and personal tasks. No two days will be the same!

KEY RESPONSIBILITIES

  1. Executive Support & Time Management
  • Manage the CEO’s calendar, schedule appointments, and coordinate meetings across different time zones.
  • Serve as a gatekeeper and first point of contact; protect the CEO’s time by screening calls, emails, and requests.
  • Book travel, accommodations, and restaurant reservations for both business and personal needs.
  • Handle personal errands such as picking up items or making purchases, if based locally.
  1. Team Coordination & Project Management
  • Act as a liaison between the CEO and various teams (many of whom are overseas), ensuring smooth communication and workflow.
  • Oversee project timelines, delegate tasks, and track deliverables in ClickUp (our primary project management tool).
  • Conduct daily stand-ups to track progress, identify bottlenecks, and ensure projects stay on schedule.
  • Maintain detailed documentation and status updates.
  1. Marketing & Digital Initiatives
  • Launch and manage marketing campaigns (e.g., Google Ads, Facebook Ads); experience with HubSpot is a plus.
  • Research, strategize, and create content or coordinate with teams for social media and personal branding efforts.
  • Use AI tools like ChatGPT to draft content, research new marketing strategies, and streamline administrative tasks.
  • Assist with basic SEO tasks or coordinate with SEO specialists when needed.
  1. Recruitment & Onboarding
  • Conduct initial interviews and screening for new hires (local and overseas).
  • Coordinate with potential candidates and recruiters to streamline the hiring process.
  • Filter suitable candidates for final interviews with the CEO, ensuring the CEO’s time is used efficiently.
  1. Administrative & Personal Tasks
  • Manage CEO’s email correspondence, draft responses, and organize inbox.
  • Research and manage vendor relationships, handle subscriptions, and sort out billing issues (e.g., phone bills).
  • Order gifts and handle logistics for personal and professional events.
  • Schedule and oversee podcast recordings, coordinate guests, and manage related logistics.
