THE OPPORTUNITY:

WSP is currently seeking an organized, proactive and detail-oriented Executive Administrative Assistant in Canada to support our Global Director, Mining & Metals (M&M) and the global M&M business. This role provides a high level of support to the Global Director and M&M stakeholders enhancing connectivity and collaboration in the global mining business and across WSP. You’ll have the opportunity to contribute meaningfully to high-impact initiatives and help shape the organization’s success.
The ideal candidate will be located in Eastern Canada and possess exceptional communication and organizational skills, along with the ability to manage multiple tasks simultaneously. Working closely with our Executives, this role requires a high degree of professionalism, and the ability to work independently with minimal supervision.
In addition to supporting the Global Director, this role provides flexible assistance to other global mining leaders and strategic initiatives, ensuring the smooth organization and efficient operation of the worldwide Mining & Metals business.

Responsibilities
  • Provide proactive high level administrative support to the Global Director, including calendar management, travel arrangements, expense report management, and scheduling meetings.
  • Prepare and edit reports, documents and presentations on behalf of the Global Director and other mining stakeholders, ensuring accuracy.
  • Arrange complex travel itineraries, including accommodations, transportation and country entry requirements. Prepare travel-related documents and ensure compliance with travel policies.
  • Manage multiple SharePoint sites and access requests and ensure site materials and links are up to date.
  • Organize leadership meetings and events across global locations, including formatting agendas, notetaking, collection of meeting materials, inviting guests, and ensuring follow-up on action items. Oversee logistics, venue selection, and vendor management.
  • Coordinate topics and guests for bi-weekly leadership team calls; participate on calls, prepare notes and circulate actions and materials.
  • Maintain email distribution lists.
  • Build and maintain positive relationships with key stakeholders, including senior executives, executive assistants, business leaders, and partners.
  • Coordinate strategic initiatives, monitoring deadlines and ensuring timely and efficient completion of tasks.
  • Handle sensitive information with the highest level of confidentiality and discretion.
  • Serve as a point of contact for internal business inquiries.
  • Work across time zones, with a diverse team from around the world.
  • Other duties as assigned/required.
