The team is part of administrative professionals who are expected to have focused stakeholder assignments, and with the opportunity to collaborate with each other for cross business projects and large events.    About the Role We are looking for a detail-oriented and proactive Administrative Assistant to support a team of North America Leaders by managing Travel & Expense processing and handling other administrative tasks. The ideal candidate should have strong communication skills, experience working with global leaders & the ability to coordinate across different time zones. A motivated self-starter with strong interpersonal skills.   Key Responsibilities:   Executive Support   * Proactively manage senior executive professional commitments, including complex calendar management, scheduling meetings, appointments, engagements, and domestic or international travel arrangements. * Evaluate priorities, exercise sound judgement in committing executive time, and pre‑emptively identify and resolve scheduling conflicts. * Act as a primary liaison between the executive and internal or external stakeholders, managing communications with professionalism, discretion, tact, and diplomacy. * Receive, screen, prioritise, and appropriately respond to correspondence, requests, and visitors on behalf of the executive. * Determine matters requiring executive attention and redirect or independently resolve issues in line with agreed authority levels. * Support senior leaders in developing presentations, spreadsheets, reports, and written materials for internal and external audiences. * Transcribe source materials and prepare accurate, well‑structured documents, tables, and charts for distribution as required. * Attend meetings as needed, capture discussions accurately, and prepare high‑quality draft minutes and executive summaries. * Support the planning and execution of departmental meetings, business reviews, off‑site meetings, and town hall sessions. * Deliver special projects independently, including presentation development, financial spreadsheets, reports, and agenda materials. * Demonstrate experience supporting multiple senior leaders, including leaders based in the United Kingdom or the United States. * Maintain absolute confidentiality and demonstrate constant awareness of data protection and information security requirements when working across geographies. * Anticipate requirements and proactively address needs before issues arise.   Administrative and Operational Support   * Provide reliable, high‑quality administrative and operational support to teams, projects, and initiatives as required. * Support records and information management by accurately setting up and maintaining document repositories and collaboration sites, including access controls and permissions. * Proactively update and maintain SharePoint lists and spreadsheet‑based trackers to ensure accuracy and completeness of information. * Support client contracting activities, including preparation of contracting documentation, coordination of approvals, confirmation of acceptances, adherence to new work approval policies, and processing of Know Your Client checks. * Format reports, correspondence, meeting notes, and presentations in line with company templates, branding standards, and house style to produce client‑ready materials. * Proof‑read non‑technical documents to ensure clarity, accuracy, and professional quality. * Coordinate travel bookings, expense management, and meeting logistics for executives and teams. * Maintain accurate and up‑to‑date records in the client relationship management system. * Demonstrate a strong understanding of, and compliance with, company policies, procedures, and governance requirements.   Core Competencies   * High attention to detail  * Proactive, resourceful, and innovative approach  * Strong problem‑solving capability  * Discretion and sound judgement  * Adaptability and anticipation of needs  * Confident decision‑making  * High emotional intelligence and interpersonal awareness
