OVERVIEW

We are seeking a highly organized and proactive Executive Assistant to support our executive team. This role is essential in ensuring smooth operations within the office and requires a blend of administrative expertise, exceptional communication skills, and a strong ability to manage multiple tasks efficiently. The ideal candidate will be detail-oriented, possess excellent organizational skills, and have a solid background in office management.

SKILLS

  • Proficiency in QuickBooks for financial management is preferred.
  • Strong customer service orientation with the ability to interact effectively with clients and team members.
  • Excellent typing skills with attention to detail for accurate documentation.
  • Experience in bookkeeping and maintaining financial records is advantageous.
  • Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools is essential.
  • Previous office experience with clerical duties such as filing, data entry, and document management is required.
  • Demonstrated administrative experience supporting executives or senior management is preferred.
  • Strong organizational skills to manage multiple tasks efficiently while prioritizing workload effectively.
  • Ability to proofread documents for grammatical accuracy and clarity.
  • Experience with multi-line phone systems for effective communication management is beneficial.

Responsibilities
  • Provide comprehensive administrative support to executives, including managing schedules and coordinating meetings using Microsoft Outlook Calendar.
  • Handle correspondence, including emails and phone calls, demonstrating excellent phone etiquette.
  • Maintain organized filing systems and perform data entry tasks to ensure accurate record-keeping.
  • Assist with bookkeeping tasks and manage financial records using QuickBooks.
  • Prepare documents for meetings, including proofreading reports and presentations for clarity and accuracy.
  • Utilize Google Workspace and Microsoft Office applications to create reports, presentations, and other necessary documents.
  • Manage front desk operations, greeting visitors and handling inquiries professionally.
  • Support project management efforts by tracking deadlines and deliverables.
  • Coordinate travel arrangements as needed for executives.
  • Maintain confidentiality regarding sensitive information.
