Description
Complex calendar management for a fast-paced calendar. Reviewing team Expense Reports. Partnering and cross-collaborating with other administrative teams as well as many parts of the CoreAI organization. Partnering with HR, Staffing, and Finance as well as facilities for space management. Managing headcount, tracking open positions, creating requisitions, onboarding new hires, and keeping up to date with Headcount related tools. Maintaining distribution lists. Managing space allocation, anticipating possible compression issues, scheduling individual moves, and assisting with group moves for team members. Team support includes space management, office moves, new hire set up and onboarding and procurement of equipment and supplies for the teams you will support. Purchasing equipment for new hires and refreshes. Track assets, cost centers, PC Recycled assets, and equipment transfers. Managing operating budget and spend, identifying near-overages and issues. Partnering with Finance to ensure no discrepancies reported. Acting as interim approver on all team expense reports, ensuring coding accuracy. Organizing and planning off-sites and morale events at the team level. Cross-collaborating, planning, and providing support for org-wide events including Town Hall Meetings, org morale events, and other events as needed. 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management. These requirements include but are not limited to the following specialized security screenings: Experience managing sensitive and confidential information with discretion and professionalism. Advanced written and verbal communication skills, attention to detail, problem-solving abilities, and time management skills. Adaptable in a team environment, building and maintaining effective working relationships with a diverse group of contributors internally and externally. Able to work confidentially with highly sensitive material and information with discretion. Able to learn new internal systems and become comfortable with new technologies. Experience working with a global team and cultural awareness Ability to lift and move standard office equipment (i.e. computers and peripherals) up to 40lbs.
