We are looking for a highly organized, proactive, resourceful and adaptable executive business coordinator who can manage a diverse range of administrative and strategic tasks in a dynamic and rewarding manufacturing environment. This role will encompass a wide range of activities including management of a few complex calendars, executive travel management, expenses and budgeting, and project coordination.

REQUIREMENTS:

Minimum of 5 years (prior) experience in a similar role
Extensive experience in organizing and coordinating office operations and procedures
to ensure organizational effectiveness and efficiency
Efficient task delivery within demanding schedules and meet tight deadlines
Possess exceptional communication skills and have experience dealing with high level executives.
Expert knowledge of Microsoft Outlook, Microsoft Excel, Word & PowerPoint

Responsibilities

Right Mindset: Represent the Executive’s office with professionalism and kindness, responding to internal and external requests and inquiries in a timely and efficient manner.
Judgment & Initiative: Strong ability to exercise sound judgment, take initiative, and adapt to changing priorities with a high degree of flexibility and responsiveness.
Confidentiality: Maintain confidential information for the business, team and ensure information is handled appropriately.
Calendar Management: Maintain and manage the Executive’s complex calendar, ensuring seamless coordination of meetings, appointments, and events both internally and externally across multiple time zones.
Communication and Correspondence: Serve as the primary point of contact for internal and external communications, including managing email correspondence, preparing reports, and drafting executive communications, ensuring accuracy and attention to detail. Work closely with Executives to enhance communication throughout the business.Collaboration Skills: Ability to collaborate effectively with different levels of management, customers, and employees, ensuring smooth communication and the timely completion of tasks.
Project Support: Assist with the planning and execution of special projects, initiatives, and events as directed. This may include research, data analysis, and coordination with cross-functional teams.
Travel Arrangements: Coordinate all aspects of Executive’s travel, including booking flights, securing accommodations, arranging ground transportation, and managing itineraries, for both domestic and international trips. Reconcile travel and expense reports, including cash and credit card purchases.
Event Coordination: Assist in organizing and coordinating team events and off-site meetings,ensuring smooth execution.
Other Administrative Tasks: Organize management meetings, prepare agendas, presentations, and statistical charts as required. Ensure time is maximized by providing research, pre-meeting bookings and required follow-ups.
