JOB TITLE: Executive Business Partner DIVISION: ---- DEPARTMENT: ---- JOB GRADE: 9 LOCATION: GT Tower REPORTING TO (ROLE): CHRO & CTTO NUMBER OF DIRECT REPORTS: Not Applicable MAIN PURPOSE OF THE JOB: The Executive Business Partner provides high-level, confidential, and proactive support to an Executive Committee member (Execom), ensuring smooth day to day operations of the Executive Office they are supporting. The role focuses on time management, communication flow, stakeholder coordination, and administrative efficiency, allowing the Executive Committee Member to focus on strategic leadership. This person is also responsible for special projects assigned to the Executive Committee Member to drive the achievement of the strategic pillars of the organization. KEY ACCOUNTABILITIES: Executive Office Administration · Manages the Execom’s calendar, prioritize meetings and ensure optimal time allocation aligned with business objectives. · Organizes travel arrangements, expense tracking, and itinerary planning for business trips, distribution events, conferences, Execom/Board meetings. · Collaborates with other internal stakeholders for calendar, logistics, and agenda requirements during IMa/Group executive visits. · Handles confidential correspondences and ensure timely response to emails and inquiries related to operations of the Execom supported. · Represents the Execom’s office with professionalism in interactions with employees, board members, JV partners, IMa and Group colleagues, regulators, and other external stakeholders. · Handles any communications/complaints that reach the office of the Execom supported to make sure it is properly handled. · Coordinates any special events with all the stake holders that is important to the Execom, i.e., Board meetings in and out of the country, special Head office or IMa visitors · Tracks critical priorities or deadline, ensuring follow-ups and deliverables are met. · Provide administrative support for strategic planning sessions, board meetings, foreign visits, townhalls, teambuilding, and the like. · Schedule and coordinate executive meetings, board meetings, townhalls, and external forums where the executive’s participation is required. · Organize offsite planning sessions, conferences, foreign guest visits, and workshops where the executive’s participation is required. · Take minutes, track follow-ups, and ensure seamless logistics during meetings and events. Operational and Project Support · Support cross functional projects that may require all Senior Executives of the company, local and international, internal and external to collaborate. · May be asked to lead some projects related to the function of the executive to meet the company goals. · Liaise with business units for data and status updates on initiatives important to the executive. KEY STAKEHOLDERS: · Executive Committee Members EXPERIENCE · Able to interact with and coordinate logistical and administrative at both internal and external stakeholders at C-Suite, leader and manager levels - even without a direct reporting relationship · Internal and external stakeholder management · Has strong negotiation skills. · Communication and inter-personal skills · Can handle confidential matters QUALIFICATIONS Preferred Attitude/Behaviour: · Strong interpersonal skills and stakeholder engagement capabilities · Proactive, detail oriented, and capable of working independently. · High level of integrity and professionalism. · Familiarity with insurance terms, KPIs and compliance requirements
