Description

DESCRIPTION

We’re looking for a highly organized, proactive, and resourceful Executive Business Partner to support our CEO (based in New York) and two Co-Founders (based in Porto and Israel). This isn’t your typical EA role - it’s designed for someone fast-paced, independent, and eager to go above and beyond. You’ll be the glue between time zones, calendars, and priorities, enabling our leaders to focus where it matters most. From high-level coordination and confidential communications to logistical wrangling and operational problem-solving, you’ll be a trusted right hand in a dynamic, fast-moving environment. The ideal candidate is a sharp, solutions-oriented operator with excellent judgment, exceptional attention to detail, and the maturity to handle sensitive information. You thrive under pressure, communicate effortlessly across cultures and time zones, and get satisfaction from making things run smoothly behind the scenes.RESPONSIBILITIES

  • Executive Support: Serve as the primary point of contact for the CEO and Co-Founders, managing high-level communications, inboxes, and meeting requests with discretion and professionalism
  • Project & Ops Management: Drive coordination of cross-functional projects — tracking milestones, following up on deliverables, and keeping things moving behind the scenes
  • Strategic & Analytical Support: Conduct research, draft briefs, and create reports that inform executive decision-making and support strategic initiatives
  • Global Calendar & Meeting Management: Own complex scheduling across multiple time zones, preparing agendas, and ensuring seamless execution of meetings with internal and external stakeholders
  • Document & Information Handling: Create, review, and organize key documents — from board decks to investor updates — with precision and confidentiality
  • Travel & Logistics: Plan and manage detailed travel itineraries, including flights, visas, accommodations, and local coordination

TECHNICAL SKILLS & QUALIFICATIONS

  • 2+ years of proven experience as an Executive Assistant or in a similar role, supporting C-level executives
  • Comfortable working with global teams and navigating complex, multi-time-zone scheduling
  • Highly tech-savvy, with a strong instinct for automating, optimizing, and simplifying processes
  • Mastery of English — both written and spoken (mandatory; only applications in English will be considered)
  • Proficiency with G-Suite (Calendar, Docs, Slides), Excel, and project management tools (e.g., Notion, Asana, Trello)
  • Bonus: additional languages, especially Portuguese or Hebrew

PEOPLE SKILLS & TRAITS

  • Resourcefulness
  • Strong organizational and time-management skills
  • Outstanding communication skills, in all forms
  • Ability to multitask and take initiative
  • High level of confidentiality and professionalism
  • Adaptability and flexibility
  • Can-do attitude
