Description

We are looking for an Executive Business Partner (EBP) to join our US People & Culture team. This position will be hybrid out of our Thousand Oaks, CA office with 2-3 days per week in the office. The Executive Business Partner provides organizational and administrative support to AVP-level leaders across People & Culture (North America), Global Total Rewards & HR Operations, and Corporate Communications. The EBP will serve as a liaison with internal and external clients to ensure clear communication and project coordination. The EBP will oversee projects and initiatives related to the workplace and the employee experience.

SKILLS, QUALIFICATIONS & EXPERIENCE:

  • Experience as an executive assistant or in a support role to senior leaders, preferably in human resources or people & culture.
  • Highly skilled in project management, service coordination, and event organization.
  • Proven organizational and prioritization abilities, complemented by outstanding attention to detail.
  • Proficient in Microsoft Office 365, including Outlook, Word, Excel, SharePoint, and PowerPoint.
  • Able to handle sensitive and confidential information with maturity and discretion.
  • Demonstrates proactive initiative, precision, and strong organizational skills, effectively setting priorities and consistently delivering multiple projects and tasks ahead of deadlines.
  • Effective communication, relationship management and social skills.
  • Good understanding of technology and proficiency at establishing and establishing automated workflows.
  • Strong influencing skills: including ability to influence up.
  • Commercially focused drive to help achieve company objectives.

Responsibilities
  • Provide support for global delivery while addressing regional needs by assisting with projects aligned to business priorities. Ensure follow-up actions are completed to support timely and efficient project completion.
  • Develop, improve, and maintain administrative systems, identifying areas for ongoing improvement and opportunities for process or report automation where applicable. Track and report outstanding tasks, monitor progress, and ensure completion of assigned activities and projects. Work with the Executive Business Partner – UK People & Culture to align processes and increase efficiency.
  • Manage daily administrative functions, including scheduling internal and external meetings, coordinating expenses, organizing events, and arranging catering. Responsible for preparing and distributing agendas, pre-read materials, minutes, and action items.
  • Responsible for schedule management, preparing communications, prioritizing deliverables, coordinating travel arrangements, administering expense reports and invoice processing, and maintaining records as well as confidential documentation.
  • Assist the People & Culture team with administrative tasks while coordinating with Finance to handle and process critical personal and contractual information in strict compliance with confidentiality protocols, including matters related to charitable giving initiatives and invoicing.
  • Deliver comprehensive administrative assistance and concierge services to the broader US People & Culture team and other designated areas as required.
  • Build strong relationships across all business areas and levels.
  • Any other duties as reasonably required.
