Responsibilities

POSITION PURPOSE

To monitor and control the overall cleaning on your allocated worksites, making sure the daily tasks, KPIs and periodicals are carried out as per the contract specifications.
The position will also be responsible for contributing and supporting the Company’s strategic growth through active engagement with new and existing clients, contracts and additional work.

MAIN DUTIES

  • Faithfully and diligently perform the duties and exercise the powers:
  • Consistent with the position of Executive Manager; and
  • Assigned by the Operations Manager
  • Be responsible for the day-to-day management and operation of the site/sites, including ensuring the performance of contracts, meeting all relevant contract and Company KPI’s, handling of complaints and dealing with employment related matters.
  • Liaise with your direct report to establish the budgets for operations. Follow up the budget on a regular basis and make the necessary adjustments to existing contracts.
  • Understand the cleaning specifications the allocated worksites and learn the generalities of each one of them.
  • Be the first point of contact for clients and liaise with clients to build, maintain and enhance strong long-term relationships.
  • Contribute to retention within existing portfolios.
  • Control the supply of cleaning materials and toilet requisites, ensuring the stock levels do not go below a critical point on any of the sites. Material/equipment orders are placed in the ordering system and in consultation, as required, with the Procurement Manager.
  • Monitor the quality of the job performed by the cleaning team and immediately addresses any problems.
  • Address all requests and complaints received from clients. Complete the necessary documentation to process client requests at Head Office.
  • Control attendance of employees at the various worksites and make the necessary arrangements to cover the job when, for any reason, a cleaner fails to show up for work.
  • Supervise the number of hours that staff work on site and liaise with Payroll to arrange the fortnightly pay.
  • Provide assistance to Site Supervisors and staff as the need arises, in relation to operations, quotes, relationships with clients and so on.
  • Liaise with Tender Team and contribute information for submission responses.
  • Provide the necessary training and support for new and existing managers and supervisors, with focus on maintaining the Company’s strategic goals.
  • Chair periodic operations/staff meetings as required, where general concerns are discussed.
  • Promptly provide the Operations Manager with all information reasonably required to assist them in the proper performance of their duties and/or requested by them.
  • Promote the interests of the Company and Related Entities.
  • Work with the objective of realising the strategic and business goals of the Company and Related Entities by expanding our services.
  • Provide effective and efficient management and leadership to the staff of the Company and Related Entities.
  • Comply with all laws, statues and subordinate legislation which apply to the Company and Related Entities.

RESPONSIBILITIES

  • Ensure the cleaning specifications on all worksites are met daily.
  • Ensure all problems pertaining to the performance of cleaning services are addressed immediately.
  • Perform Quality inspections of all sites at the intervals as directed by the Operations Manager.
  • Control the keys and/or access cards and ensure security of the worksites.
  • Monitor that all staff are wearing the company uniform and are neatly presented at all times.
  • Administrate the provision of the necessary resources for an effective and efficient flow of the cleaning operation, including training of staff.
  • Supervise personnel in charge (i.e. Supervisors, Leading Hands, Cleaners).
  • Monitor and report on performance of contracted services such as waste removal and window cleaning and ensure they are complying with the Company’s Operating Systems.
  • Anticipate and promote additional work that may be required at the worksites and initiate quotations as required.
  • Ensure building data, such as waste figures, fault reporting etc. is accurate and relayed to Head Office in a timely manner for the production of monthly client reports.
  • Ensure data entry for payment of cleaning staff is accurate and timely.

Responsibility within the Operating Systems

  • Ensure that the Operations team delivers and maintains a high-level customer service (i.e. prompt response to requests, ongoing communication, good relationships with site representatives, etc.)
  • Liaise with the Quality Manager for all quality related issues.
  • Liaise with the EHS Manager for all WHS and environmental related issues.
  • Ensure a high standard of cleaning. Perform formal quality inspections on site and complete Quality Report forms with the frequency established for each worksite.
  • Ensure client issues are properly addressed, and preventive action is taken to avoid recurrence.
  • Ensure that identified training needs are undertaken.
  • Be responsible for ensuring the Company’s WHS objectives and procedures are put into practice by the on-site staff and is responsible for providing suitable resources to ensure that an effective service is provided under safe conditions.
  • Ensure machinery and equipment is in good working condition at all times. Machinery requiring maintenance or repairs must be sent to Head Office.
  • Ensure the cleaner’s room at worksites are tidy and comply with quality and safety regulations, as applicable: Operations Folder in place, SDS for all the chemicals, chemical containers suitably labelled, safety procedures are on display, etc.
  • Maintain the Operations Folder with all necessary documentation and it is kept up to date and intact.
  • Maintain communication with the Operations Manager and Quality Manager for all quality related issues.
