Responsibilities

YOUR ROLE

The Executive Coordinator will be responsible for managing, identifying, and prioritising the workload for the Executive by maintaining a thorough understanding of divisional priorities, Homes NSW-wide matters, and ministerial issues. This includes preparing and coordinating efficient preparation and delivery of briefing notes, correspondence, and advice tailored for diverse audiences, including Ministers, the Secretary, Deputy Secretary, Homes NSW, the Department, other Government agencies, and key stakeholders.

WHAT YOU’LL DO

As the Executive Coordinator, you will operate in a high-pressure environment requiring quick turnarounds, tailored responses and exceptional attention to detail. Your key responsibilities will include:

  • Manage urgent information requests on behalf of the Executive Director and Executives, ensuring timely responses aligned with Divisional, Homes NSW, Departmental, and Ministerial priorities.
  • Prepare high-quality correspondence, briefings, and advice across a range of sensitive issues to support informed decision-making.
  • Provide timely advice and ensure responses meet deadlines and quality standards.
  • Coordinate information and collaboration across work units for ministerial correspondence, parliamentary questions, speeches, and other key documents.
  • Deliver executive support services, including scheduling, meeting coordination, agenda preparation, and event planning aligned with divisional objectives.

To be successful in this role, the ideal candidate will have:

  • Advanced knowledge and skills in MS Office applications (Word, Excel, Powerpoint, Outlook), SAP.
  • Core financial administration tasks such as processing invoices, generating purchase orders, and maintaining accurate financial records.
  • Systems and Record Management Systems.
  • Exceptional attention to detail and organisational skills
  • Ability to juggle multiple projects in a high-pressure environment where priorities can rapidly change
  • Strong work ethic and problem solver
  • Understanding of organisational management principles, structures, and processes
